Our client in Toronto is actively looking for a AP/Office Coordinator to join their team.

Title: AP/Office Coordinator
Location: Toronto, ON
Length of Assignment: Permanent

Salary: $60,000 - $65,000/year


Job Description for AP Coordinator & Office Manager
  • Receive all mail and distributing them. Save on the drive.
  • Receive all invoices and forward to Director Asset Management and Chief Operating Officer for approval.
  • Forward the approved invoices to Controller for accounting approval.
  • Enter approved invoices in Spectra for processing
  • Preapre weekly cheque runs
  • Separate by reviewer and signing officers. This includes all partner companies, third party property management cheques.
  • Deposit all tenant cheques
  • Enter cash receipts in Spectra when the Asst Controller is away on vacation
  • Create all partner letters.
  • Scanning of all invoices on the drive and documents sent via email
  • Drawings organization downstairs.
  • Setting up by calling all utility & taxes companies for all the invoices/taxes & etc to come through the billing account.
  • Update the tracking file with info of usernames and passwords for all the logins to every account.
  • Mortgage Report for all active mortgages updated monthly.
  • Preparing chargeback invoices for tenants and 3rd party Propery Managers
  • Setting up all the accounting hard copy folders and filing of them.
  • Fixing up the drive by adding and deleting folders that was updated hierarchy of the drive
  • Sick, vacation and office calendar template update for the team.
  • In charge of ordering all office supplies and toiletries.
  • Key person for coordinating all IT issues with IT service provider.
  • Responsible of coordinating and making sure all the services run in the office on a day-to-day basis:
  • Sharp copier, Avante security, Interface phone company, Tuor IT support, Water plan, Iron Mountain, Courier service,
  • Zoom, Rogers Internet, Rogers Cell phone, Client postage machine, Cheque machine, Cleaners, Manulife plan,
  • Spectra.
  • Create leases and rental renewal letter and N1s, forms, letters and set up credit checks, sign up for events & courses.
  • Setting up boardroom for all important meetings
