The Payroll Tax Specialist will handle all payroll tax related functions and research, as well as completing any tasks necessary for monitoring and overseeing the company's payroll tax process utilizing a 3rd party vendor. This position will also be responsible for processing biweekly and off cycle payrolls in a multi-state environment.
What You Will Do
- Responsible for assisting with processing international and US payrolls for exempt and non-exempt employees.
- Responsible for reviewing and resolving payroll tickets in Jira.
- Research payroll issues, demonstrating high analytical ability, knowledge of best practices, and an understanding of federal and state payroll tax and labor law developments.
- Administer payroll tax compliance requirements across all companies (updating account numbers, state unemployment insurance rates, and responding to agency information requests such as questionnaires, business ownership, and license information).
- Work directly with tax agencies to open or close tax accounts as needed, including completing registration or termination forms while mindful to avoid failure to file notices and penalties.
- Make corrections to Business Wire state/federal tax profile setups with tax service (ex. ADP), preventing incorrect reporting.
- Maintain tax service dashboard and resolve tax or garnishment discrepancies. Address escalated garnishment orders by working with tax service and adjusting garnishment data as needed to update the Tax interface quarterly.
- Review and submit tax notices to tax service. Identify and intervene on high-priority tax notices (failure to file and underpayments), resolving directly with the appropriate agency. Process quarterly tax returns or late originals as needed.
- Responsible for quarter-end processing, researching, and resolving variances between Workday and ADP Smart Connect to ensure accurate reporting.
- Balance and remit payroll taxes for bi-weekly payroll runs.
- Process “lock-in” letters received from IRS.
- Collecting, verifying, and recording employee attendance, including hours worked.
- Execute year-end processing including reconciling and verifying all box totals, earnings, and deductions, to ensure accurate W2 reporting. Transmit periodic test files to ensure data is updated correctly. Process imputed income files from the expense team, third-party sick pay, wage, and hypothetical tax adjustment for expatriate employees.
- Review employee data to identify employees with an incorrect live or work state. Make necessary tax adjustments to provide an accurate W2 and correct state tax returns.
- Maintain tax service dashboard and resolve tax discrepancies by working with tax service and adjusting as needed.
- Answer tax calls from Employees and tax agencies.
- Ensuring compliance with federal, state, and local tax laws, including remittance of payroll taxes.
- Maintaining a database of personnel information and accurate payroll records.
- Processing and monitoring garnishment orders.
- Computing wages, commissions, and deductions.
- Preparing paychecks to ensure that employees are paid on time and in the correct amount.
- Conducting regularly scheduled audits of payroll records to ensure continued accuracy.
- Handling employee complaints about incorrect payments and resolving discrepancies.
What You Will Need
- 7+ years of payroll experience
- Must have experience processing multi-state payroll tax in Workday.
- Must have experience with Workday and ADP Smart Connect.
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Proficient with Microsoft Office Suite or related software
- Proficient with Workday payroll software.
- US and International payroll experience.
- Jira Ticketing system is a plus.
- CPP and Workday certifications a plus.

- The base salary range for this position is $75K to $90K/year. Offered salary will be determined by several factors, including but not limited to: applicant’s education, experience, knowledge, skills and abilities, as well as internal equity and alignment with geographic market data.
