Blue Sky Innovative Solutions is seeking a temporary Executive Administrative Assistant . The Executive Administrative Assistant serves as key contact and liaison to Human Resources for the Office of the Health Officer.

SUPERVISORY RESPONSIBILITY

POSTION SUMMARY The Executive Administrative Assistant provides administrative support to the Health Officer, Deputy Health Officers, Chief of Staff to the Health Officer, Chief of Public Health Innovation and Policy within the Programs/Divisions within the Office of the Health Officer (OHO).

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES
  • Creates and processes paperwork for personnel action, to include hiring/recruitment for the Office of the Health Officer.
  • Maintains office supplies, monitors inventory, and completes supply orders routinely and as needed.
  • Acts as an intermediary for the Chief of Staff and Executive Team maintaining frequent contacts with public and private executives, professional staff and other officials.
  • Receives telephone calls and visitors and arranges for appointments and interviews.
  • Drafts routine and non-routine correspondence.
  • Responsible for scheduling and calendar management for the Health Officer and Chief of Staff to the Health Officer.
  • Provides information to callers in regard to laws, rules, regulations, operations and procedures governing the agency's operations.
  • Implements office procedures.
  • Updates as needed and maintains electronic filing system.
  • Conducts necessary research/ obtains proper information for reports.
  • Maintains organizational charts for the Office of the Health Officer, and works with agency divisions to ensure organizational charts are up to date.
  • Logs and tracks incoming and outgoing correspondence, documents, and approval requests.
  • Maintains and updates the Health Officer's Outlook contacts.
  • Incumbent will be required to work with sensitive material while maintaining strict confidentiality.
  • Assists in the coordination and planning of ongoing, routine, and non-routine meetings, special events and projects.
  • Assists in securing travel arrangements/lodging for the Health Officer, Deputies, and OHO staff; Processes and submits payment requests for OHO invoices/accounts payable.
  • Performs other related duties as assigned.

MINIMUM QUALIFICATIONS
  • Must have at least 2-3 years of advanced administrative experience
  • Must have the ability to communicate clearly, concisely, and effectively; listen effectively and share information both internally and externally.
  • Must have the ability to manage competing priorities in a fast-paced environment, while quickly adapting to changing priorities with professional composure and demeanor.
  • Must be Microsoft TEAMs proficient and have the ability to set up meetings and work within TEAMS.
  • Must possess critical thinking skills.
  • Must have the ability to address inquiries in a responsive and thorough manner, with a willingness to ensure that all necessary information has been obtained and to ask any follow-up questions that may be necessary.
  • Must have strong attention-to-detail and organizational skills.
  • Must have the ability to work on a semi-independent basis after having been instructed in necessary policies and procedures for accomplishing tasks.
  • Must be Technologically savvy and able to quickly learn advanced navigation and management of new platforms.
  • Must have multitasking, organizational, and time management skills.
  • Must have the ability to handle confidential matters with utmost integrity.

EDUCATION

PHYSICAL, MENTAL, AND ENVIRONMENTAL CONDITIONS
  • Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public using the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. CONDITIONS OF EMPLOYMENT
  • Must be legally authorized to work in the United States of America. Sponsorship will not be a part of this contract
