Summary:
Facilities Coordinator is a core member of the Facilities department. The position responsibilities include general administrative support within the Facilities Department as well assist with Front Desk Administration and Shipping and Receiving.

Minimum Requirements:
A combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.
Education: High School Diploma/GED
Years of Experience: Minimum one (1) year proven experience providing administrative support as well as the ability to manage multiple tasks simultaneously with minimal supervision.

Preferred Requirements:
• Knowledge of MS Word, MS Excel, Internet, Adobe, Auto CAD.

• Ability to communicate effectively with Manager and Director on a regular basis.
• Demonstrated professional interaction with visitors, vendors, deliveries, and all departments.
Job Duties:
• Manage Facilities Mailbox daily, sending out general requests to the proper staff member and department.
• Prepare/Code Facilities invoices for review and approval. Setting up new Vendors within the Ariba Systems. Coordinate communications between all Facility Vendors and the accounting team.
• Update Vendors with payment status and coordinate with accounting with completing on time payments.
• Maintain building maps and upkeep of information on W:Drive.
• Maintaining Invoice, stations and inventory spreadsheets.
• Maintain coffee/water supplies and service, arrange medical and safety supplies as needed.
• Maintain inventory, negotiate, monitor pricing of furniture, office, break room and janitorial supply purchases.
• Maintain weekly shred bins and coordinate shred projects, assessing and coordinating the needs for waste management/recycle services.
• Arrange pest control services as needed.
• Assist with coordinating the start-up, move or close of stations (ordering supplies/equipment, set up services, moves and coordinating deliveries), management coordination for space planning, construction projects and workstation installs/assignments.
• Act as the point person for asset inventory and maintaining the contact lists for all stations.
• Coordinate staff access to storage facility.
• Assist with Security and Emergency Response procedure, maintain building integrity, and safety of campus.
• Assist with coordination of events and manage the G4 Facilities page.
• Managing the Facility Jira systems, intergrading upgrades and changes when necessary.
• Act as back up to the shipping department and Front desk Administrator
• Model Allegiant’s customer service standards in personal actions and when providing direction.
• Other duties as assigned.

Office/IT - While performing the duties of this job, the Team Member is regularly required to stand, sit, talk, hear, see, reach, stoop, kneel, and use hands and fingers to operate a computer, key board, printer, and phone. May be required to lift, push, pull, or carry up to 50 lbs. May be required to work various shifts/days in a 24 hour situation. Regular attendance is a requirement of the role. Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.
