What you'll do 

We are seeking a dedicated and experienced Payroll Specialist who is highly organized and detail-oriented to join our Human Resources team. As a Payroll Specialist, you will be responsible for overseeing all aspects of the outsourced payroll function, ensuring accurate and timely processing and compliance with applicable laws and regulations. This is a critical role that requires strong attention to detail, a deep understanding of payroll systems, and the ability to manage multiple priorities in a fast-paced and deadline-driven environment. This is an excellent opportunity for someone with a solid understanding of payroll processes and tax withholding regulations.

In this role, you will collaborate with various departments and work closely with the Finance teams in each of our businesses to ensure accurate and timely processing of payroll. You will also be responsible for monitoring payroll tax and withholding compliance, including staying up to date on tax legislations and regulations, ensuring accurate reporting, and working with the payroll vendor to handle any payroll tax issues. This role offers the flexibility to work remotely from anywhere within the USA.

Responsibilities

  • Manage and supervise the outsourced payroll team, providing guidance and support to ensure the successful delivery of payroll services.
  • Payroll Oversight (Approve Payroll): Ensure accurate and timely processing of payroll for employees, including reviewing and approving payroll calculations and adjustments.
  • Monitor and verify the accuracy of payroll data, ensuring compliance with relevant laws and regulations.
  • Oversee and manage all aspects of the payroll function, ensuring accurate and timely processing of employee compensation, deductions, and compliance with federal, state, and local payroll tax regulations.
  • Vendor Management: Manage relationships with payroll service providers, software vendors, and other related partners.
  • Process Improvements: Research and implement best practices for outsourced payroll processing, identifying opportunities for process improvement and automation to optimize efficiency and accuracy.
  • Develop and maintain payroll policies and procedures, ensuring adherence to company standards and regulatory requirements.
  • Work with Audit team to coordinate internal and external audits related to payroll, ensuring compliance and accuracy.
  • Maintain accurate payroll records and prepare necessary reports for outsource vendor, management and auditors
  • As required help to resolve payroll discrepancies and respond to employee inquiries regarding payroll-related matters
  • Collaborate with the Finance teams to reconcile payroll accounts and prepare necessary journal entries
  • Handle all payroll related mail on a timely basis.
  • Work closely with local HR teams to reconcile any issues with employees.
  • Stay up to date on changes to payroll tax regulations and ensure timely implementation of any required updates
  • Handles all tasks related to the smooth processing and auditing of 401k benefits.
  • Plays an integral role in acquisition activity.

What you'll bring to KIND

  •  Bachelor's degree in Accounting, Finance, or a related field
  • Minimum of 5 years of experience in both US and Canada payroll processing and payroll tax compliance
  • Proven experience in managing outsourced payroll operations, preferably in a large organization.
  • Strong knowledge of payroll laws, regulations, and best practices.
  • Strong knowledge and demonstrated experience using payroll systems and software, timekeeping systems and software, with a strong preference for experience with ADP Workforce Now
  • Excellent organizational and time management skills, with the ability to prioritize and meet deadlines in a fast-paced environment.
  • Proficient in MS Office, particularly Excel and other relevant software applications; Prior experience with v-lookups strongly preferred.
  • Excellent analytical and problem-solving skills
  • Strong attention to detail and accuracy
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with various stakeholders
  • Ability to work independently and collaboratively as part of a team
  • Certification in payroll administration (e.g., Certified Payroll Professional) is preferred, but not required.
  • Experience leading a team is preferred
  • Familiarity with payroll withholding and unemployment is a plus

A reasonable estimate of the current base salary range for this position is $75,000.00 - $103,500.00. Actual salary will be based on a variety of factors, including location, experience, skill set, performance, licensure and certification, and business needs. The range for this position in other geographic locations may differ.
