Executive/Personal Assistant to a busy published author and business owner. 30 hrs

The Executive/Personal Assistant to a busy published author and business owner. You will work closely with her to streamline her filing, project management organization, correspondence, brainstorming and schedule, and just generally keep things running in her personal and professional life as smoothly and efficiently as possible. Current computer skills are a must.
This opportunity is perfect for a person who likes to serve others and wants to make a difference!
This unique position will be spending time in her home and home office in Nevada City, and may occasionally visit her other properties, all within Nevada County. Ideal candidates must have reliable transportation with the ability to work both independently and with a team.
Job responsibilities include but are not limited to:
Computer troubleshooting and managing online applications (e.g., Zoom; Google Docs; Dropbox; remote communicating, Teams spreadsheets)
Email and correspondence management: Interface with potential book buyers, medical professionals, insurance providers, local vendors, and others about a variety of needs and projects.
Scheduling: Requesting appointments, calls, and meetings.
Organizational systems management: Establishing and/or maintaining digital and physical filing systems and other organizational projects.
Brainstorming with Ms. Caldwell throughout the week regarding projects. Assisting anything that helps Ms. Caldwell focus on writing, working on projects, attending meetings, or preparing for her speaking/appearances or vacations Managing and monitoring Ms. Caldwell's social media sites, YouTube channel, editing and posting interviews and video content as needed.
Ordering and preparing daily supplements and meds as needed. Vetting podcast and media requests
Occasionally responding to a call on off-hours Editorial edits of articles, posts, and manuscripts
Self-starting when Ms. Caldwell is traveling (about 6 weeks/year)
Maintained database and sending out mass emails via the software program. Collaborating with other household and remote staff.
Performing online research
Ability to brainstorm and generate results
Oversee projects with deadlines, including contracts and contractors
Making calls as needed to establish connections or follow up on outstanding items
Running errands as needed.
Help in the home office and home with preparing packages/mail, shipping, organizing various areas, and more.
Help manage book distribution with the publishing team.
You are the right fit if you have:
Are a true go-getter who is an amazing troubleshooter and outside-the-box thinker
Previous experience as an executive assistant
Are proficient online, with MS Office (including Outlook, Word, Excel, PowerPoint, Sharepoint and Teams), Dropbox and with a variety of office equipment, macOS knowledge a plus!
Experience with print and online calendar management Experience handling computer updates
Social media and website management knowledge Nice handwriting is a plus!
Collaboration skills
Can oversee household staff if needed Are a fast learner
Have flexibility in scheduling
Possess exceptional written and verbal communication skills -- clear and direct (you like to cut to the chase)
