FL-Havana-NWFWMD- Administrative Services-Accounts Payable Clerk - Estimated 2 month assignment
Pay Range based on Experience: $18.00 to $21.00
Rate will be determined based on experience and interview.
TRAVEL: Possibly only for infrequent trips to the bank in Leon County. Estimate less than 1% of their time. Using NWFWMD vehicle
WORK ENVIRONMENT: Office/cubical setting. Also serve as backup to front desk receptionist, answering multi-line phone, greeting visitors, etc.
EQUIPMENT THAT WILL BE USED: Computer, phone, copy machine, printer, check scanner, 10 key adding machine.
COMPUTER SOFTWARE TO BE USED: MS Excel; Word; Outlook; Munis (accounting software); log in to websites as needed to process electronic payments using Google Chrome or MS Edge browsers.
CANDIDATE RESPONSIBILITIES:
** Audit invoices, monthly statements and travel vouchers (against purchase orders or other sources) and resolve discrepancies with staff and vendors;
** Route invoices for approval districtwide and monitor for timely completion;
** Maintain list of recurring expenses and monitor to ensure payments are up to date;
** Download invoice data to Excel and prepare data for review and approval,
** Process weekly accounts payable;
** Maintain vendor payment files, maintain pending purchase order files,
** Matching incoming invoices as received;
** Monthly reconciliation of bank accounts; prepare and enter journal entries; deposit checks using remote desktop scanner;
** Receive and route Division mail;
** This person also serves as the backup to our front desk receptionist so they will be answering a multi-line phone, greeting visitors etc. **
