The Executive Assistant to the CFO provides comprehensive administrative support to the CFO and supports the senior leadership in the accounting department. This role requires managing sensitive information with high confidentiality and professionalism and facilitating the smooth operation of various departmental functions.
Key Responsibilities:
- Administrative Support for the CFO:
- Manage the CFO's calendar, including scheduling, travel arrangements, and meeting planning.
- Prepare, edit, and manage the distribution of correspondence and presentations.
- Handle incoming and outgoing communications and manage documentation.
- Organize and maintain files and records, ensuring accuracy and confidentiality.
- Meeting Management:
- Assist in scheduling and organizing internal and external meetings, including for:
- Audit processes
- Valuation reviews
- Administrative coordination
- Board meetings related to Audits
- Manage meeting room reservations and desk reservations using tools like Robin.
- Organize and coordinate meeting materials and guest logistics.
- Document Management:
- Scan accounting-related materials, including monthly financial packages.
- Manage the collection of audit confirmations and relevant contact information.
- Bind and prepare presentation materials.
- Oversee the secure destruction of confidential documents.
- Mail and Supply Management:
- Handle incoming and outgoing mail and ensure timely distribution.
- Oversee the inventory of office supplies and manage new account orders.
- Additional Duties:
- Provide support for unexpected tasks and project-based work.
- Assist with travel bookings and the preparation of expense reports.
- Plan and coordinate departmental events.
- Review and improve operational practices.
Qualifications:
- Bachelor’s degree in Business Administration or related field preferred.
- Extensive experience as an executive assistant or in similar administrative roles.
- Strong understanding of office management systems and procedures.
- Proficient in MS Office, with advanced capabilities in Excel, Word, and PowerPoint.
- Exceptional organizational, time management, and planning skills.
- Ability to multitask and prioritize in a dynamic environment.
- High level verbal and written communication skills.
- Must be discrete with the ability to maintain confidentiality.
