The Business Operations Specialist is responsible for assisting the business operations process including purchasing, facilities, and vendor management. These responsibilities include but not limited to researching key suppliers, purchasing, inventory management, facilities maintenance, and ensuring all products and materials meet company standards.
Requirements:
- Assist with purchasing processes, including order replacement and tracking.
- Support programs administered by the department. Programs include but not limited to employee parking, cell phones, fleet, travel, and facilities maintenance.
- Creates and tracks all purchase orders to support the company’s daily operations.
- Tracks inventory and restocks goods throughout the building.
- Maintain relationships with suppliers, vendors, and internal customers to ensure timely delivery of product and materials. This includes negotiation of price, availability, delivery schedule, and resolving issues.
- Coordinate and assist with facilities tasks and improvement projects.
- Assist in budget tracking for purchasing and facilities.
- Assist with switchboard and mailroom coverage as needed.
- Track, and analyze supplier performance, supply/availability, pricing, and quality.
- Assist with creating and implementing operational policies and procedures.
- Support the identification and implementation of continuous improvement strategies within key processes.
Requirements:
- Minimum of two years of experience in purchasing, procurement, administration and or vendor management.
- Familiarity with purchasing, supplier selection, cost analysis and negotiation.
- Basic understanding of facilities management principles helpful.
- Strong analytical, computer, and software skills specifically with MS Word, MS Excel, and Vendor Management tools.
- Strong attention to detail.
- Adapts quickly to business needs and changing environment.
- Comfortable managing and reporting on multiple projects concurrently.
- Strong customer services skills necessary.
- Strong interpersonal skills with the ability to maintain customer and vendor relationships.
- Demonstrates strong self-efficacy and ability to take initiative in problem solving.
- Exemplary written and verbal communication; strong diplomatic and collaboration skills.
- Acts with integrity.
- Strong time management and multitasking abilities.
The compensation for this position is between $28.00 and $30.76 per hour based on 37.5 hours per week.
