Utilizes scanning functions to capture images of original documents in the Sanford patient medical record and transfers them to the data management system or Electronic Medical Record (EMR). Accuracy and quality are essential as the EMR becomes the patient's legal medical record for the organization. Utilizes designated database for patient records to index and validate paper-based correspondence or scanned images. Database is a complete document management client-server application. Indexes forms that are not bar-coded by searching the database for correct document type. Communicates invalid forms and document types to leadership for inclusion in the database and/or reprinting of the form. Uses the scanning software independently and can perform maintenance as needed. Uses extensive knowledge of medical record forms and content to perform quality checks on the scanned, indexed and validated documents. Performs
quality assurance activities on image prior to destruction of the original document for legal purposes. Work assignments vary based on workload demands and shift assignment. In addition to the duties listed above, work assignments include location-specific duties as designated below: In a Health Information Management (HIM) setting: Prepares medical record documentation for scanning. Locates, retrieves and routes records. Uses facility-specific software to determine record locations. Locates medical records for user requests within
specified timeframes. Scans images into data management system.
