POSITION SUMMARY:
The Gallery Activation Coordinator plays a vital role in supporting ROM’s 21st Century mission: engaging the community with ROM’s collections to deepen understanding of the past, connect with the present, and shape a shared future. Reporting to the Assistant Vice President of Gallery Engagement, the Coordinator oversees all facets of family and visitor engagement, ensuring seamless daily operations that enrich the visitor experience. Key responsibilities include budgeting, project management, staffing, content and learning development, and training for staff and volunteers. This role is pivotal during peak times—such as weekends, ROM for the Holidays, Family Day, March Break, and other special events—when the demand for engaging family programs is high. The Gallery Activation Coordinator customizes and adapts programs and educational materials to meet the diverse needs of visitors, with a strong focus on family and early childhood learning. By empowering Gallery Assistants, Facilitators, and Volunteers, the Coordinator enhances the delivery of interactive, hands-on activities across ROM galleries, fostering playful, enriching experiences for all.

RESPONSIBILITIES:
  • Oversee the operational needs of gallery learning spaces during peak times, including budget monitoring, reporting, customer service, staff scheduling and supervision, payroll, and other administrative tasks.
  • Coordinate and contribute to content development and educational initiatives in gallery learning spaces, including theme selection, setting academic goals, research, writing, and collaborating with curatorial staff to source appropriate objects.
  • Evaluate programs to ensure effectiveness, recommend future improvements, and report results to management and team members.
  • Collaborate with various departments (custodial, security, facilities, and others) to maintain the safety and upkeep of galleries and learning spaces.
  • Work closely with Hands-on Gallery Coordinators to ensure smooth operations and clear communication across gallery spaces.
QUALIFICATIONS:
  • Bachelor’s degree in a related field or extensive experience in cultural programming; a background in museum studies, Ontario Teaching Certificate, or a 4-year degree in Education or a museum-related subject is an asset or an equivalent combination of education and experience.
  • Minimum of three years developing learning programs, focusing on adapting and customizing activations for family and early childhood learning.
  • Strong background in interactive educational environments, such as museums or art galleries, with proven team leadership, organization, interpersonal communication, and problem-solving skills.
  • At least one year of experience training and supervising staff, preferably within a unionized setting.
  • Proficiency in project and budget management with a successful record of delivering programs on time and within budget.
  • Commitment to customer service excellence, with an understanding of customer service principles and the ability to engage with visitors of all ages.
  • Exceptional interpersonal, written, and oral communication skills, conflict management and resolution abilities to handle challenging conversations professionally.
  • Demonstrated research, planning, and organizational skills.
  • Strong computer literacy, including Microsoft Office and other standard applications, meeting current industry standards.
  • Fluency in French or other languages is an asset.
  • Comprehensive understanding of lifelong learning principles and diverse learning styles.
  • Flexible availability, with a willingness to work weekends, select evenings, and holidays.
