Are you a stickler for great first impressions?
We are looking for an energetic and proactive Corporate Service Coordinator for our Edmonton branch for a 6-month part time contract role (20 hours/week). This role is responsible for administrative support to various teams, playing a key role in various committees, and a key contributor to making Long View a great place to work or visit.
A Day in the Life:
- Create a great first impression of Long View by greeting our visitors and managing the Long View lobby
- Mail/courier processing and distribution
- Administrative support for the Edmonton branch VP
- Co-chair the HSE Committee, complete internal HSE audits and inspections
- Co-chair social committee, planning and coordinating events
- Create branch communication including marketing materials for office and client events
- Assist with new hire onboarding
- Meeting coordination including booking meeting rooms, catering orders, guest sign-in, hoteling station setups
- Manage Corporate Services phone and inbox, respond to inquiries, order gift cards
- Maintain tidiness and cleanliness of kitchen and boardrooms throughout the day
- Vendor liaison for all office related maintenance including supplies, HSE items, custodial
- Order and maintain office and coffee supplies inventory
- Monthly credit card reconciliation and generating expense reports
- Process timesheets and invoices for weekly financial batches
- Streamline and maintain invoice creation and validation
- Assist in processing and sending out invoices, attaching appropriate backup documentation, when required
- Assist with project reporting, and review for accuracy
- Update sales CLM, documentation reviews and filing, other sales coordinator related duties
- Ability to work in the Edmonton office 8 hours on Mondays and Wednesdays, and 4 hours on Fridays
What You Bring:
- 2+ years’ experience in a coordinator or corporate services position
- Certificate in Business Administration, Accounting Assistant, or equivalent is an asset
- Excellent interpersonal and communication skills (verbal and written), with a focus on customer service and relationships
- Experience in event planning and coordination
- Proficient in Microsoft Office, Teams, and CRM
