Vested’s Payroll & Accounting Specialist is responsible for US payroll and coordinating with UK team members for UK payroll. This role will report to the Director of Finance and duties include but are not limited to payroll processing, retirement plan administration, and employee expense reimbursement and backup support for other finance team members.
Payroll Processing and General Accounting for Group Vested (including Vested US, Finance Studio, and Qwoted entities)
Ensure timely processing of all bi-weekly, and semi-monthly payroll administration, commission calculations, and bonus payouts
Maintaining finance and payroll records via Quickbooks
Reviews and process expenses, reimbursements
Act as back up to other areas of finance/accounting - (accounts payable, accounts receivable, vendor management, client management and contract review)
Partner with People Team on other various projects as needed (salary changes, employee status changes and compensation changes
Partner with the Vested, UK team members for UK payroll as needed
401k/Retirement Plan Administration for Group Vested (including Vested US, Finance Studio, and Qwoted entities)
Perform as the Group Vested "go to" person for all 401k information, employee onboarding, and ongoing support around the retirement plans (employee contributions per payroll and employer contributions once annually)
Liaise with our third party agency and plan holder as related to employee rollovers (reviewing requests, confirming requests with terminated employees, and completing company portion of the rollover process)
Weekly monitoring of employee requested changes to contributions and providing formal updates to Insperity for payroll withholdings
Ensure that employees are entered into the plan holder’s system when hired and removed upon termination
Distribute mandatory employee notices as required
Annual Profit Share and Safe Harbor contribution censuses, calculations, and employee communications related to company contributions
Qualified Candidates will have:
5+ years of experience - managing and processing payroll, retirement plan administration, expense reimbursement, commissions and bonus distribution, vendor and client management, accounts payable and receivable
BA Degree preferred (finance or accounting related) or equivalent work experience in finance and accounting field
Previous management of Corporate 401K / profit sharing plans
Expert knowledge of Accounting Software (Quickbooks, Bill.com or similar)
Expert knowledge of Excel or Google Sheets (V-Look up and Pivot Tables)
Previous experience working in tandem with HRIS or PEO platforms
Experience working and thriving in a remote environment (EST and CST preferred)
Be extremely detail oriented, self starting, Agile and love to work with numbers
