POSITION SUMMARY:
Reporting to the Manager of Collections Information Systems, the Collections Information Project Manager is responsible for leading and managing a variety of collections information focused projects. This role requires a versatile skill set that includes project leadership, budgeting, procurement, team management, and effective communication. The Collection Information Project Manager ensures that each project aligns with the quality standards and vision of the organization while adhering to budget and timeline constraints.

RESPONSIBILITIES:
  • Oversee a variety of diverse collection information-based projects, from initial concept to completion, while ensuring that each project aligns with the organization's standards, vision, and budget and timeline.
  • Serve as the main point of contact for internal and external stakeholders, facilitating effective communication and collaboration at all project stages.
  • Maintain diligent financial control by tracking expenditures, reconciling expenses, and vetting vendor invoices by contractual agreements.
  • Assist the Manager of Collections Information Systems in hiring for key project-based positions.
  • Lead, supervise, and evaluate the performance of team members and contractors, fostering an environment of collaboration, respect, and inclusivity.
  • Address performance issues and conflicts promptly, liaising with management when necessary to ensure smooth project execution.
  • Develop, implement, and continuously adjust a comprehensive communication plan that facilitates timely and effective communication among team members, contractors, and external partners.
  • Act as the primary facilitator for project meetings, ensuring that agendas are followed, and decisions are properly recorded for future reference.
  • Assist in developing project budgets and schedules, providing detailed work breakdown structures, task lists, and timelines to guide the project’s execution.
  • Proactively identify potential risks and devise mitigation strategies, ensuring the project stays on course concerning scope, timeline, and budget.
QUALIFICATIONS:
  • Degree in Information Management, Museum Studies or associated field.
  • A minimum of four (4) years of robust project management experience, including managerial or project leadership responsibilities.
  • Previous involvement with projects in the cultural sector required.
  • Certification in Project Management Professional (PMP) is highly desirable.
  • Proven supervisory or leadership experience, underscored by strong organizational capabilities.
  • Demonstrable expertise in financial planning, specifically in budget creation and oversight.
  • Exceptional verbal and written communication skills, focusing on collaborative planning and effectively integrating work across various museum departments.
  • Adept in employing various project management tools and methodologies, such as team building and conflict resolution.
  • Ability to operate flexibly and consultatively, accommodating the varying demands of multiple concurrent projects.
  • Demonstrated ability to engage with communities from diverse cultural and socio-economic backgrounds in project consultations.
  • Working knowledge of information management systems, including relational databases and Digital Asset Management systems (DAMs)
  • Experience with The Museum System is strongly preferred.
  • Proficiency in the French language is considered an asset.
SALARY & TERMS OF EMPLOYMENT 

START DATE: January 6, 2025

STATUS: Full-time contract
EMPLOYEE GROUP: Non-Union
SALARY: $88, 666 - $104, 313

SCHEDULE: 35 hours
PROBATIONARY PERIOD: Six (6) months
LOCATION (hybrid): Toronto, ON

* This role generally functions on a full-time schedule; however, there may be occasions where additional hours are required to meet business objectives.
