Job Description:
The IT Procurement and supply chain Asset Coordinator will be responsible for procuring the assets needed by Client Customer end users. This role supports delivery of financial logistical acquisition of End User Systems devices/software and other IT equipment/software. Primarily a business office function, this role has significant impact on the day-to-day success of Customer's corporate IT support services.
The candidate will work with vendors, internal customers and peers to ensure the timely delivery of hardware and software orders. The candidate will receive requests for orders, initiate orders, track orders status, update and maintain the ServiceNow asset configuration management system asset lifecycle information records and provide asset information usage metrics and analysis.
The ideal candidate will have previous experience with purchasing, asset lifecycle, inventory management and reporting, process optimization and logistical exposure to on time delivery of services/assets.
The candidate must be a well-organized individual who is a team player, and can relate to people at all levels of an organization, possesses excellent communication skills and demonstrates flexibility to handle variable workload.

Responsibilities include:
  • The process and execution of procurement and supply chain activities, inventory control, logistics and distribution
  • Reconciling inventory across a variety of systems and statuses (in stock, in use, etc.)
  • Ensuring timely delivery of goods and services using the most appropriate procurement procedures
  • Ensuring competitive pricing and the best options from suppliers
  • Managing and monitoring transactional procurement purchase processes, shipping and receiving
  • May negotiate with vendors for optimal pricing and service delivery
  • Adheres to full compliance of procurement activities, financial rules and regulations, relevant organizational directives and administrative Instructions
  • Ensuring all activities are compliant with standard reporting requirements and audits
  • Ensuring effective use of internal Standard Operating Procedures in Procurement, control of workflows/processes
  • Accountable to understand software license models and license related terms, and to translate these requirements into Software Asset Management practices – ensure tracking through-out the lifecycle of software from request, deploy, use, upgrade, and decommission
  • Responsible for validation of software entitlements including expertise with respect to, license metrics and counting rules, virtualization and cloud concepts
  • Partner with the contract negotiation team to provide information on software/license counts, metrics, and usage, as well as provide input on terms that impact licensing
  • Support assessing how changes the vendor makes to licensing impacts the organization
  • Ensuring that license entitlement management is maintained regularly is a key function of this role throughout the lifecycle of the license agreement and product usage
  • Ensure the license definition is captured in the Software Asset Management system

Qualifications/Experience
  • A minimum of three-five years of progressive purchasing experience with/of Information Technologies
  • Proficient in the use of computer applications and systems – ServiceNow highly preferred
  • IT Asset and Software Asset Management Process and ITIL processes
  • Good understanding of technology concepts as it relates to IT hardware and software license models
  • Demonstrated proactive collaboration with Sourcing, Vendor & Business Management, technology groups, Acquisition/Divestiture team, and Business representatives as required
  • Understand the business requirements and use of hardware and software internally and externally
  • Ability to multi-task and prioritize work schedules
  • Strong ability to work independently and manage one's time
  • Must be able to integrate well into an existing team of technical and project professionals
  • Expert in Office and field related software, such as PowerPoint, Outlook, Excel, etc.
  • Excellent verbal and written communication skills, problem solving skills, attention to detail, interpersonal skills and the ability to interact professionally with a diverse group of executives, managers, and subject matter experts
Education
  • Bachelor's degree in business, computer science, engineering or related technical discipline
  • ITIL v3 Foundation certification preferred
