Travel Department Senior Coordinator

Primary Purpose of Position
This position supports the Global Travel Program. The primary function is to assist the Global Travel Manager with day-to-day administrative needs, assisting global associates and provide support for special projects as needed.
Principal Responsibilities
  • Responding to associate questions regarding travel policy; profile updates including name corrections, admin rights, arranger selection, duplication; use of on-line booking tool: investigate supplier related issues.
  • Acts as a resource for associates with less experience.
  • Work in tandem with Accounts Payable needs for coding BTA accounts and other invoices for payment.
  • Assist with annual transient hotel bid process including data collection, correspondence with potential hotels, loading information into travel management tool, and creation of preferred hotel list throughout the year.
  • Assist Global Travel Manager with all corporate-wide travel vendor issues throughout the year.
  • Work in tandem with Security to maintain traveler tracking software and input travel information booked outside of the TMC; run reports when needed for weather or other emergency situations to determine associates that may be impacted and send notifications in a timely manner.
  • Monitor Travel Inquiries email box and notify appropriate vendors of VIP travel.
  • Monitor unused tickets to ensure usage or conversion prior to expiration.
  • Run TMC reports for Global Travel Manager or departmental needs on scheduled basis or ad-hoc basis.
  • Update content on the myTravel page as needed.

Qualifications
  • Analytical skills to identify issues and potential solutions.
  • Effective communication via phone, email, or in-person with all levels of stakeholders.
  • Strong customer service and a high-level of professionalism.
  • Exceptional ability using Microsoft products (particularly Excel and PowerPoint).
  • Ability to work collaboratively and prioritize jobs while multi-tasking.
  • Ability to work independently and within a team environment.
  • Experience with use of any travel industry tools including OBTs, Client @ Work, Concur Expense or other products preferred.
