Equity Diversity, & Inclusion (EDI) Staff Project Coordinator
Location: 1100 Glendon Ave., Suite 710, 7th Floor, Los Angeles, CA 90024
Shift: Monday thru Friday, 8:00 to 5:00
Duration: 13 week contract with possible extension and/or conversion to permanent employee
Additional Details
Onsite at 1100 Glendon Ave. Required Exp: B.S. or B.A. in related field or 3-5 years of experience in leadership, management and EDI for large units and teams.
Required Experience:
• B.S. or B.A. in related field or 3-5 years of experience in leadership, managmement and EDI for large units and teams
• Ability to create, execute, assess and monitor progress of set goals and move forward the EDI mission and priorities for department staff, including people; professional development/education; policies, programs, practices, procedures; climate, community engagement, patient care
• Ability to lead and execute EDI related educational programing including information sessions for units or in small groups or one on one
Preferred Experience:
• Experience with community engagement through websites and social media
• Ability to update websites and create content including posts and short form videos
• Experience in working with large units and teams in a university or other higher education setting
Interview Process:
• One 30 minute meeting over Zoom
• One 60 minute interview in person
• Will request samples of writing and EDI program/education (website, curriculum, presentaiton)
Provide leadership for creation, implementation and assessment of goals, strategies, and outcomes for staff related DOM EDI activities, programming and initiatives
1) Create, execute, assess, and monitor progress of goals, programs and initiatives that move forward the DOM EDI-Staff mission and priorities for Department staff.
2) Convene Committee of staff leaders and learners to create and advise on DOM EDI-Staff goals and strategies related to staff activities, create and track meeting notes, and execute and track action plans.
3) Work with Department, Divisional, and other staff leadership to collect and analyze data such as staff demographics, assets, areas of improvement/concern, ideas for activities, departmental culture and work environment that will inform action plans for goals, programs and initiatives. This includes create graphs, tables, spreadsheets, slides as well as providing presentations to various applicable audiences on findings.
4) Create evaluation plan for DOM EDI staff activities to ensure that programming meetings intended outcomes toward DOM EDI goals. Create tracking systems for program processes, research projects, publications, contacts, etc. This may also include creating/maintaining databases, entering data and engaging statisticians on data analysis.
5) Connect with and support staff and manage difficult situations. Manage and triage issues per client policies and regulations.
6) Plan and execute department wide, division, and unit specific special events including ensuring fit with the mission of DOM EDI, creating, developing and preparing the agenda and meeting materials, negotiating pricing and securing of the venue, securing/setting up catering.
7) Create, write, proofread, and edit reports, presentations, correspondence, statistical tables, and survey instruments.
8) Attend regularly scheduled Department and Division Managers Meetings to understand current issues for staff in the Dept and in the Division.
9) Create content and update social media and website related to Staff DOM EDI including slides, short form videos, and other new and relevant forms.
10) Collaborate with DOM EDI for faculty/trainees on special projects such as newsletter, social media content, events and reporting of goals, strategies, progress on EDI for staff activities.
11) Provide leadership to ensure alignment with DOM EDI for faculty/trainees and DGSOM JEDI leadership and priorities including: people; professional development/education; policies, programs, practices, procedures; climate, community engagement, patient care.
12) Engage DOM EDI and DOM staff leadership regularly on the status of the departmental EDI goals and tactics, securing executive support, resources, as necessary.
13) Participate and engage in activities designed to build capacity for executing EDI goals and strategies related to staff activities.
14) Develop, modify and update Power Point presentations for classes, lectures, meetings, and other presentation activities.
Administrative duties
1) Designing flyers, announcements, social media posts and calendar for special events and programming for EDI-staff activities.
2) Obtain and track needed resources for activities including data, presentations, and other needed information.
3) Conduct needed office operations including regularly answering phones, managing mail, triaging emails, reviewing suggestion box, ordering materials to meet any office needs, handling building/space related issues, meet and greet guests, run errands as necessary to various departmental offices, schedule meetings and programming
4) Monitor and track budget, reimbursements, and payments
5) Coordinate all program meetings and events. Manage best available times, set up conference calls and meetings, provide follow-up with faculty regarding meetings. Assist with documentation of conference calls (i.e., minutes). Maintain program calendar and reminder notices for program faculty, partners, and guests. Execute and track all action items from meetings.
