Your role and goals
Do you enjoy creating a welcoming environment and ensuring a remarkable office experience? Do you strive to best assist your office community and colleagues? Then join us at Productsup. We are looking for an Office Assistant for our Berlin headquarters.
As the Office Assistant, you are the main contact for visitors to Productsup. You will maintain our front desk on a daily basis and perform a variety of administrative and clerical tasks with the primary goal of customer satisfaction.
This is an onsite role and you will work in our Berlin office 5 days per week.
In your first 3 months you will:
- Provide coverage for the front desk. You will receive, greet and direct people, calls, issues, and deliveries to the appropriate department or employee with a warm and professional demeanor
- Ensure our office and front desk runs smoothly by keeping it tidy and ordering office/kitchen supplies when necessary
- Maintain office security by following safety procedures and controlling access via the reception desk
- Assist with various administrative tasks, including file organization, invoice management and document preparation.
- Oversee the work schedule of our contractors e.g. cleaning service
- Be responsible for mail/parcel sorting and distribution to the appropriate recipients (both locally and internationally)
- Prepare meeting rooms for our staff and external guests
In your first 6 months and beyond you will:
- Ensure our office runs smoothly by maintaining good relationships with all internal and external stakeholders such as the building caretaker, property management, IT, cleaning service, suppliers, landlords, neighbors, etc
- Bring in new ideas to create structured processes and workflows within office management
- Ensure our new office space will be a place where people love to come to
- Be a helping hand with room booking and ad hoc events, if necessary also outside the office
What you bring to the team
- 1-2 years of experience as a Receptionist, Front Office Representative in the hospitality industry or a similar role
- Multitasking and time-management skills, with the ability to prioritize tasks
- Ability to be resourceful and proactive when issues arise
- Knowledge of Google Suite
- Strong communication skills
- Full professional proficiency in German and English
