We are seeking a motivated, detail-oriented, highly organized, and resourceful Executive Assistant to support our President and CEO. In this role, you will act as a trusted partner, managing schedules, communications, and priorities for both executives. This critical position requires exceptional organizational skills, discretion, proactive problem-solving, and the ability to adapt to a fast-paced and ever-changing environment.

Your focus will be on optimizing time and ensuring seamless coordination across internal and external stakeholders while balancing executive support with occasional personal assistance.  This opportunity is ideal for someone who thrives on organization, can anticipate needs before they arise, and is eager to make a meaningful impact.

Job Duties & Responsibilities

  • Executive Support:
  • Manage complex calendars, including scheduling and optimizing meetings, events, and travel arrangements.
  • Organize daily priorities and compile and manage detailed to-do lists, ensuring deadlines and priorities are clearly communicated.
  • Maintain email inboxes by organizing, drafting responses, and flagging high-priority items for attention. (Stretch goal: Achieve 0 inbox).
  • Prepare meeting agendas, take notes, and track follow-up actions to completion.

  •  Personal Assistance: 
  • Provide support for personal logistics, including scheduling, research, and coordination of personal errands and obligations.
  • Act as a reliable resource for balancing professional and personal commitments.
  • Assist with promoting a healthy lifestyle for the executives, ensuring physical and mental wellness support, and aligning with the demanding roles.

  • Project Management & Operational Efficiency: 
  • Support planning and execution of meetings, events, and special projects.
  • Support the President with cross-departmental initiatives by assisting with Asana project organization, progress tracking and follow-ups.
  • Anticipate potential roadblocks and proactively develop solutions.
  • Organize and maintain confidential documents and files.

  • Relationship Management and Communication:
  • Serve as a key point of contact for internal and external stakeholders, ensuring clear and timely communication.
  • Foster relationships with key stakeholders to support business objectives.

  • Confidentiality and Professionalism:
  • Handle sensitive information with the utmost discretion and maintain professionalism in all interactions.

  • Additional Responsibilities:
  • Provide general administrative support as needed to streamline operations and enhance productivity

Experience, Education & Designations

  • At least 4 years in a similar role providing executive-level support.
  • Previous experience in a fast-paced, entrepreneurial environment is a strong asset
  • Strong proficiency in modern productivity tools (e.g., Asana, Microsoft 365)
  • Exceptional organizational and time management skills.
  • Critical thinking and problem-solving abilities.
  • Strong written and verbal communication abilities.
  • Comfortable using AI tools to enhance productivity Ability to self-manage and ensure tasks are completed without extensive oversight.
