Our client is an Australian discount variety store chain selling goods such as food, snacks, gift cards and parties, health and beauty aids, cleaning supplies, storage, kitchenware, homewares, and seasonal items in 375 stores across Australia.

They are now looking to hire a Merchandise Administrator to provide operational support to the Buyer for the Merchandise Buying Confectionary team.

Job Responsibilities:

#1: Occupational Health and Safety (OHS) and Compliance

  • When registering new products, sourcing relevant health and safety documentation and/or certifications from suppliers to meet regulated industry standards.
  • Communicate and promote health and safety policies and procedures to ensure all employees understand current practices.
  • Comply with all company policies, procedures, and codes of conduct to enhance the company’s reputation and achieve company vision through meeting our legal, moral, and ethical obligations.
  • Identify and report all incidents and safety hazards so that the appropriate review and corrective action can be taken.
  • Personally be compliant with all Company policies, procedures, and codes.

#2: Buying Support

  • Write purchase orders and manage the purchase order process with vendors, including follow-up.
  • Ensure all markups and markdown management is completed and ensure SAP reflects correct pricing.
  • Ensure relevant administrative tasks are completed promptly on a daily, weekly, and monthly basis depending on process timeline requirements.
  • Use merchandise reports to provide ongoing analysis and interpretation of key business issues.
  • Maintain a strong partnership with the planning and allocation organization to manage financial metrics, OTB, and inventory flow to the distribution center and stores.
  • Demonstrate advanced product knowledge by sharing information with the Buyer through competitive shopping, shopping CTS stores, and the market.

#3: Sample Administration and Promotional Activity

  • Independently identify priorities and proactively work to achieve efficiency in sample management, purchase order writing, and product shipping.
  • Manage the process of samples: collect and send samples, check bar codes, test samples, and follow up with suppliers, follow up on promotional samples.
  • Assist the buyer in setting up “Bull Ring” for all events and range reviews following timelines.
  • Assist with the promotional spreadsheets e.g. Catalogue Planners are completed by promotional timelines.
  • Complete administrative tasks for print and email Ad campaigns, including item and sample submission to marketing.
  • Proof copy and photography for print and email Ad campaigns with accuracy.

#4: Management of Stakeholder Relationships

  • Establish and maintain a reputation of responsiveness in the marketplace.
  • Troubleshoot issues and negotiate with vendors accordingly.
  • Maintain communication with vendors and internal teams to ensure on-time shipments.
  • Maintain external relationships with all suppliers and overseas buying agents
  • Manage supplier contact details.
  • Identify and communicate opportunities for continuous
  • improvement with internal and external stakeholders.

#5: Daily Tasks:

  • Raising purchase orders (POs) and handling delivery-related follow-ups
  • Closing out purchase orders (PO close-offs)
  • Addressing distribution center (DC) queries and amendments, including product variations (error in pack size, Use By Date, Incorrect EAN), PO discrepancies, and incorrect product deliveries
  • Registering new articles
  • Amending articles (cost, INR & OTR, vendor, retail)
  • Investigating payment errors related to POs
  • Managing vendor emails regarding PO amendments (cost, quantity, dates, container) – requires buyer/planner approval
  • Following up on unbooked POs (three times a week)
  • Conducting Inbound Delivery (IBD) checks
  • Checking overseas order delivery bookings

Requirements

  • Experience in using MS Office suite; intermediate Excel skills, word, PowerPoint, etc.
  • Highly proficient in SAP
  • Strong analytical skills to create data-driven decisions
  • Ability to communicate well and build relationships with relevant stakeholders
  • Effective vendor management skills
  • Strong organisation skills and attention to detail
  • Customer service orientated
  • Results focussed with a high degree of resilience and perseverance
  • Acts with urgency to resolve issues impacting service or sales
  • Proven ability to multi-task and operate independently
  • Agility to acquire and apply new practices.
