Post: Segera Retreat – Reservations Specialist

Location: Based in Nanyuki – Segera Office

Reporting to: Reservations Manager

Goals and objectives:

The Reservations Specialist is responsible for managing the reservations process of Agent and guests bookings.

Maximising room revenue and occupancy levels, whilst delivering quality guest’s service.

Vision - To create and support sustainable, ecologically and socially responsible projects and destinations around the world to achieve long lasting impact and sustainability through the holistic balance of conservation, community, culture and commerce in privately managed areas.

Duties and Responsibilities, but not limited to:

  • Delivering accurate and timely information to Retail, Wholesale and DMC trade concerning any inquiries related to Segera.
  • Design personalised high-end itineraries in order to meet guests individualised needs and preferences.
  • Provide first-hand information about Segera and Kenya to local and international guests.
  • Review daily operational updates from Segera and make any necessary edits affecting guests’ itineraries.
  • Prepare quotes, generate invoices and politely follow up with guests regarding payment.
  • Exercise diplomatic skills in all aspects of guest relations, including unexpected illnesses, lost luggage and/or missed flights
  • Generate reports for review by management.
  • Represent the company at various business events and functions.
  • If required, meet and greet incoming international guests.
  • Maintain an efficient client database with guest special requirements and other special requests.
  • Share in-depth knowledge about Segera’s offering and the various ZEITZ foundation initiatives.
  • Assist the Sales Manager with sales activities (if required)
  • Reconfirm and update Segera with all incoming and outgoing flights and helicopter transfers.
  • Maintain a workable office environment, by ensuring that all information is retrievable by all staff

Attributes, attitude and skills:

  • Well-presented individual with good interpersonal and communication skills
  • Communication skills – written and verbal – English (any other language an advantage)
  • Outstanding telephone manner
  • Highly organised and meticulous planning ability
  • Keen eye for detail required.
  • Ability to work under pressure.
  • Open to new concepts
  • Highly self-motivated and ability to take initiative.
  • A warm, friendly and respectful personality.
  • Excellent computer skills - MS Word, MS Excel, MS PowerPoint

Qualifications:

  • Minimum 4 years’ experience in Reservations or Front Office Experience or other 5* Hotel / Lodge Operations involving Admin or Tour Operator, depending on ability.
  • Knowledge of any foreign language will be an added advantage.
