Snapshot of key accountabilities of the Front Desk Coordinator:
- Coordinate front desk day-to-day operations, training, development, goal setting and evaluation.
- Maintain physical premises.
- Meet all customer service standards and ensure Health Center staff is meeting standards as well.
- Manage patient volume to support achieving the HC visit per hour goals.
- Assure health center front desk tasks and responsibilities are completed by assigned dates and time to comply with established policies and procedures.
- Process records, logs and be accountable for money as directed and assigned by HC Manager or designee.
- Manage front desk team and support PPSENFL in holding coworkers accountable and taking ownership of assigned tasks and work in the health center.
- Ensure EHR front desk workques are completed daily, researching and resolving each of the items.
- Support staff to ensure real time check out is accomplished; provide feedback to any HC staff that have not completed documentation to allow for real time check out.
- End of day reconciliation, cash balancing is completed accurately and timely.
- Collect proper payment at time of service.
- Ensure proper insurance demographics information is collected and used for patients visit.
- Provide correct information to patients regarding copay, coinsurance, referrals and prior authorizations.
- Managed schedules to ensure the following: appt confirmations are complete, walk ins are accepted whenever possible, be aware of wait times and provide proper communication to waiting patients and make HC leadership aware of delays.
- Coordinate inventory maintenance and ordering of supplies as needed (i.e., Staples, supplies for Patient Experience).
- Provide front desk training for new hires and existing staff and complete all documentation as necessary.
Experience and Education:
- GED or High School Diploma with comparable training and job experience required. Previous health care office management and/or exquisite customer service experience required. Previous management and supervision experience preferred, must have demonstrated the ability to lead, manage, and develop staff effectively. Must have a strong understanding of and personal commitment to reproductive rights and the goals and responsibilities of Planned Parenthood. Excellent organizational, communication and sound decision-making skills. Must have a commitment to efficient and quality healthcare. Must be comfortable when discussing sexuality, contraception, sexually transmitted diseases, and pregnancy options. Must be willing and able to work evening and weekend hours, and to work at other health centers if needed. Ability to recognize and function appropriately in sensitive situations. Previous experience working with Microsoft Word, Excel, and Outlook is required.
- Minimum of 2 years' experience in an outpatient medical office, working in an Insurance Authorization or Pre-Authorization/Certification role.
- Prior experience/understanding of insurance plans including but not limited to copay, co-insurance, insurance portals, referrals, authorizations, etc.
- Collect required payment at time of service.
- Promote and encourage usage of patient portal.
- Prior experience using Epic is preferred.
- Bilingual strongly preferred.
- Understanding of coding.
- Scheduling experience.
- Strong interpersonal skills.
- Proven ability to provide direction and manage processes.
- Cross training is not required but knowledge of our services, ab options and the laws is required.
- Knowledge of CPT coding, ICD.10 coding and medical pre-certification protocols required.
- Familiarity with insurance verification of deductibles and co-insurance calculation.
Benefits and Compensations:
- Hourly compensation range: Starting at $20.00/ hour.
- Eligible for all applicable benefits effective the first of the month following 60 days from your hire date.
- Paid Time Off, accrues immediately but can't be taken until after 90 full days of employment : 3 weeks of paid time off, 10 recognized Holidays in addition to PTO, 1 personal day, and birthday.
