Essential Job Duties
As a Payroll Document Specialist, you’ll play a vital role in ensuring our clients’ payroll setup runs smoothly. Your ability to manage multiple priorities, communicate clearly, and maintain a detail-oriented approach will be key as you help guide our clients through the onboarding process. In this role, you’ll not only gain experience with technical payroll setups but also collaborate closely with clients and internal teams to ensure every detail is handled efficiently.
A successful Payroll Document Specialist will:
- Schedule calls with clients to gather necessary payroll setup documents, such as federal tax proof, state tax IDs, bank account information, and more.
- Guide clients through completing required documents (e.g., 8821, 8655, ACH authorization) and ensure all sections are filled out correctly and on time.
- Hold clients accountable to deadlines and follow up as needed to keep the process on track.
- Review submitted documentation for accuracy, and communicate with clients to resolve any issues.
- Notify the data specialist once documents are finalized and join transition calls when needed.
- Conduct preliminary fraud checks, verifying client details like online presence, address validity, and contact information.
- Ensure accurate and up-to-date information is recorded in Salesforce, while documenting key findings in Gainsight.
What You Need to Get the Job Done
- Strong organizational skills with the ability to juggle multiple tasks and keep things running smoothly.
- Excellent customer service experience (written and verbal), with a knack for making complex information clear and simple.
- Attention to detail, especially when reviewing documents and verifying information.
- Ability to manage projects with varying levels of completion and keep clients accountable to deadlines.
- Previous experience working with clients is a plus, but not required.
