Position Summary:
The Operations Support Specialist is responsible for processing e-commerce customer orders and coordinating delivery logistics of orders. This involves coordination with numerous touchpoints both internal and external, including sales, vendors, and freight brokers. This position also provides backup for other operational tasks.
The right person for the job will be a process-driven, service-oriented, team-player with good communication skills, willing to help grow a small company by bringing new ideas and suggestions to the team.
Essential Functions:
Order Entry Management
- Process e-commerce customer orders via EDI/NetSuite.
- For e-commerce customers’ orders, review inventory levels to ensure adequate quantities on hand for orders to process and communicate exceptions.
- Manage and update customer records in NetSuite for e-commerce accounts when new locations are added.
Customer Solutions
- Respond professionally and timely to inquiries from e-commerce customers and manage order exceptions.
Freight
- For e-commerce Customers, coordinate shipping of products within customer’s time frame.
- Handle all co-manufacturer shipping-related requests professionally and timely (e.g. ASN revisions, label printing).
Accounts Payable
- Issue Purchase Orders to co-manufacturers based on sales order confirmations (All customers).
- Process all co-manufacturer invoices into NetSuite.
- Analyze all costs being incurred with the manufacturer to ensure conformity with existing contracts.
- Process all freight broker invoices into NetSuite.
- Process expense payables
- Conduct reconciliations
- Own state registration process and manage tonnage filings
Accounts Receivable
- Invoice all customers through NetSuite and email invoices to any non-EDI customers.
Other responsibilities as assigned.
Proficiencies:
- Familiarity with carrier/shipping logistics and dock management preferred.
- Comfortable working with multiple online vendor-tracking systems and accounting systems (NetSuite preferred), and EDI (electronic data interchange).
- Proficient in Microsoft Office (Word, Excel, and PowerPoint,).
- Strong customer service orientation with the ability to build and maintain constructive working relationships internally and externally.
- Ability to effectively plan and organize daily work to ensure that priority tasks are completed in timely manner.
- Strong written and oral skills, with the ability to provide information clearly and concisely.
- Naturally curious and coachable

- Comfortable with change, uncertainty, and a fast-paced work environment.
Job Requirements:
- Bachelor Degree in Accounting or equivalent work experience.
- At least 5+ of experience.
- Experience working with international clients is a must.
- NetSuite experience is a must.
- Must have an experience with the following:
- Order Entry
- Accounts Payable
- Accounts Receivable
- Excellent organizational and communication skills (oral and written)
- Ability to excel at details, multi-tasking, and working under pressure in a fast-paced and changing environment
- Demonstrate consistent ability to build productive and positive working relationships with Managers and Team Members throughout the organization
- Must have experience and proficiency with MS Word, Outlook, Excel, 10-key and Accounting & Enterprise software tools
