1.1. Reports to : Director of Quality Management Department 1.2. Responsible for : Controlling Documentation Process 1.3. Liaises with : Hospital Staff 2.0 Job Summary: Responsible for the coordination of the documentation process. 3.0 Duties and Responsibilities: 3.1. Plan, develop and design policies and procedures as per Canadian standards in consultation with concern teams/departments. 3.2. Be responsible to review policies as hospital wide or departmental as applicable. 3.3. Be responsible to avoid duplication or contradiction between policies. 3.4. Track authorization and approval of the policies, manuals and forms. 3.5. Identify needs for developing new policies. 3.6. Provide support and act as resource person to the facilities within the hospital for documentation issues. 3.7. Report compliance status of the documentation within the facility. 3.8. Assist in design control and amendment of all documentation in the hospital. 3.9. Ensure that agreement of concurrence between departments are in place. 3.10. Ensure that all the policies , forms and manuals are standardized across university hospitals 3.11. Act as resource unit for the policies as demanded by different areas. 3.12. Be responsible to monitor timely update/ review of the Job Descriptions and credentials. 3.13. Be responsible to review forms as hospital wide or departmental. 3.14. Be responsible to review medical files as open and closed. 3.15. Develop quality guideline/check list for documentation review. 3.16. Maintains confidentiality at all times. 3.17. Perform any other duties as assigned by the Quality Management Director. 4.0 Education/ Licensure: 4.1. Bachelor Degree in Medicine / Nursing / Pharmacy. 4.2. Certificate in Health Care Quality Management. 5.0 Professional Experience: 5.1. Minimum 2 years recent experience in Quality Department as Quality Coordinator / Facilitator. 5.2. 1 year experience in Documentation Management. 6.0 Specialized Knowledge and skills: 6.1. Current knowledge of accreditation Standards - Canadian. 6.2. Excellent verbal and written skills in English. 6.3. Computer Skills : Microsoft Office. 6.4. Presentation Skills – preferred. 7.0 Condition
