Business Support Unit - Office Assistant 2
Duties will include:
- Monitor e-mail mailboxes and provide information to and answer questions from all other staff, other agencies and the public.
- Refer inquiries to the appropriate office or individual.
- Run requested reports and prepare for distribution.
- Maintain inventory, maintenance, assignment/ITSM ticket logs or other records to ensure all issues are handled timely.
- Operate office machines such as copiers,calculators,computer printers and perform simple maintenance tasks such as adding toner and paper.
- Setup and support of employee workstations, including the hookup of computers and peripherals.
- Configure, maintain and support desktop software.
- Provide computer troubleshooting, fixing items where appropriate.
- Accurately key data into various databases, software modules, Excel spreadsheets, etc.
- Verify accuracy and correct errors on invoices, vouchers, etc.
- Verify and record payment dates using various databases.
- Establish new and/or maintain files by numbering forms, coding, preparing file folders and compiling relevant material.
- Update and correct records and file, retrieve records using one or more filing systems.
- Assist in preparation of files to be sent for scanning or to the BSC.
- Miscalleneous assignments as they occur.
