As an Administrative Support Assistant at Eram Talent, you will play a vital role in providing administrative support to ensure the smooth daily operations of the organization. In this role, you will be responsible for a variety of administrative tasks, including managing calendars, organizing files, preparing documents, coordinating meetings, and providing general office support. Your strong attention to detail, excellent organizational skills, and proficiency in office software will contribute to the effectiveness and efficiency of the team.

Responsibilities


• Maintains daily calendar of Dept/Div. Head.
• Attends to the phone calls.
• Receives visitors and refers other matters to appropriate personnel
• Sets meeting schedule and book a meeting room.
• Process gate pass request through VMS.
• Creates Miscellaneous Payments through MPS.
• Organizes catering for a meeting.
• Requests corporate services through CRM system.
• Requests taxi services through DILIP system.
• Collects weekly and quarterly highlight report.
• Handles office store of stationary and other supplies.
• Creates B2B shopping cart, search for items in the B2B catalog.
• Follow up any order in B2B that required to be delivered as soon as possible.
• Fill the online time sheet and e-leave application.
• Verifies time data and leave request.
• Creates yearly time sheet with all possible leave options.
• Initiate the business travel request for an employee.
• Requests for the travel services required.
• Creates Expense Report for an employee.

Requirements

  • Associate Diploma or Higher Level is preferred. High School level or as equivalent acceptable to Saudi Aramco.
  • Minimum 3-5  years relevant of experience working as a Secretary, Reception Assistant and help desk preferably been as expeditor skills.
  • Able to operate a computer with Microsoft Basic and able to operate basic office equipment.
  • Ability to listen the phone calls carefully and transmit messages effectively.
  • Good understanding of English and Speaking Ability to enable effective written or verbal interpretation of messages clearly.
