Summary
The Fuel Administrator Specialist assists in the completion of the day-to-day duties for the Fuel Procurement & Logistics Department, facilitates communication between fuel vendors and the company, assists in creating a positive team environment and is a responsible, dependable employee. This position requires the highest level of professionalism, confidentiality, and integrity.

Minimum Requirements
A combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.
Education: High School Diploma/GED
Years of Experience: Minimum one (1) year of experience in business administration or related field.

Preferred Requirements
• Experience within the fuel, petroleum or airline industries.
• Strong problem-solving skills, basic accounting principles knowledge, and data analysis skills.
• Knowledge and experience of petroleum pricing, fuel supply, distribution, refining, or trading.
• Thorough knowledge and experience with business administration, fuel inventory, accounts payable/ general systems, financial chart of accounts and corporate processes.
Job Duties
• Work with other Allegiant departments (Accounting, Quality Assurance, Safety and Training, Tax, Treasury, Accounts Payable, Airport Services, Finance, OCC, Dispatch, etc.) as needed to support Fuel Management and Company objectives.
• Review fuel data and fuel related invoices to ensure costs, taxes and fees are correct and that gallons match Allegiant’s actual usage. Assist with accounting disputes and request timely corrections of any discrepancies.
• Assist in maintaining the Fuel Management System including, but not limited to, various contracted prices, terms, volumes, and fees.
• Maintain files, including filing and saving documentation in accordance with company policy and processes.
• Answer and direct incoming departmental calls and emails appropriately.
• Research and resolve flight and fuel discrepancies and any other issues that may arise, by reaching out to the vendor or airport.
• Responsible for managing the department e-mail inboxes by distributing and saving reports, and other various documents.
• Respond timely and professionally to vendor or internal inquires.
• Assist with maintaining and updating fuel vendor contact information.
• Handle daily fuel administrative tasks by saving, entering, or reconciling fuel bill of ladings, fuel logs, fuel tickets, fuel consumption and inventory reports; as well as, resolving and clearing daily system buffered flight and fuel logs.
• Model Allegiant’s customer service standards in personal actions.
• Other duties as assigned.

Office - While performing the duties of this job, the Team Member is regularly required to stand, sit, talk, hear, see, reach, stoop, kneel, and use hands and fingers to operate a computer, key board, printer, and phone. May be required to lift, push, pull, or carry up to 20 lbs. May be required to work various shifts/days in a 24-hour situation. Regular attendance is a requirement of the role. Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.
