We are seeking a reliable and detail-oriented Administrative Assistant to support OCUE's administrative functions, specifically focusing on transcript processing and related tasks. This is a temporary position aimed at alleviating workload pressures during a period of increased activity.
- Answer office phones and review voicemail messages, directing callers to the appropriate OCUE employee.
- Process transcript requests, including entering requests into the transcript log, locating and saving transcripts, drafting transmittal emails or letters, and sending transcripts via email or mail.
- Archive transcript requests and responses, ensuring accurate record-keeping.
- Respond to email and phone inquiries about transcript requests, guiding individuals to the relevant sections of the OCUE website.
- Assist in sorting, responding to, directing, and archiving other emails in office mailboxes.
- Support other duties related to the IRP reconciliation, such as data entry and verifying automatically processed information for accuracy and completeness.
- Perform additional tasks as assigned.
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to adapt quickly to changing priorities and work effectively in a fast-paced environment.
Education and Experience:
- High school diploma or equivalent.
- Previous experience in an administrative role is preferred.
