We are currently seeking a dynamic and organised individual to join our team as an Office Manager. This role requires proficiency in both English and Lithuanian, excellent organisational skills, and the ability to handle
multiple tasks efficiently.

Requirements

  • Proficiency in English and Lithuanian (spoken and written).
  • Strong organisational and multitasking skills.
  • Previous experience in office administration or receptionist roles.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in MS Office/Gsuite applications.
  • Attention to detail and problem-solving abilities.
  • Excellent organisational and multitasking abilities.
  • Strong leadership and team management skills.

Responsibilities

  • Manage day-to-day office operations, ensuring smooth functioning and providing support to staff with daily administrative tasks.
  • Create, update, and maintain office and digital documentation in compliance with established standards.
  • Coordinate correspondence and ensure proper document circulation and archiving.
  • Maintain an efficient and orderly reception area.
  • Provide administrative and technical support for internal events, conferences, and meetings.
  • Collaborate with cleaning services and other office service providers.
  • Organise business travel arrangements, including flights,taxi services, accommodations and provide emergency support when needed.
  • Handle mail distribution and coordinate with courier services.
  • Assist with vendor management and building administration.
  • Support employees with organisational matters and office supplies procurement.
  • Coordinate local office events to foster team integration.
  • Manage office access control and maintain a database of access cards.
  • Assist with non-technical facilities tasks such as parking management and ad-hoc items.
  • Coordinate taxi services.
  • Assist with document production, printing, and scanning.
  • Process administration invoices.
  • Assist with document archiving.
