The Opportunity:

We’re looking for a Part-Time Facilities Administrative Assistant to join our Facilities & Office Services team in Toronto 2 days a week.

Reporting to the Office Services Manager, the Facilities Administrative Assistant will be responsible for providing Facilities & Office Services tasks in a timely and customer service-oriented manner. 

This role is a part time position working 2 days per week (Tuesday and Wednesday) onsite at our office at 151 Yonge Street in Toronto.

What your day looks like:

  • Reception desk duties involve welcoming both external customers and internal staff
  • Receiving and mailing out courier packages
  • Assist in distributing snacks and catering during Anchor Days and EA meetings
  • Greeting and serving internal and external clients at the reception area including issuing of access cards and tracking for security purposes
  • Administration of Facilities Inbox in collaboration with Vancouver office
  • Assisting with onboarding and offboarding employees
  • Responsible for issuing and tracking of building access cards, desk/office keys
  • Provide high level of customer support to executive assistants
  • Monitor and maintain vendor contracts and schedule renewals in conjunction with manager of facilities
  • Light cleaning involving loading and unloading of dishwashers in all 4 kitchens
  • Other related duties assigned by the Office Services Manager

Requirements

Your experience and skills:

  • Top level customer service skills, collaborative and team oriented with a “can do” attitude
  • Post-Secondary education preferred
  • 2 years’ experience in a similar position
  • Strong experience with the MS suite of products including Word, Excel, Outlook
  • Experience with office 365 experience and teams preferred
  • Experience working with vendors, building management and construction project trades and consultants is preferred
  • Strong aptitude to pick up technology and willingness to learn new systems
  • Ability to learn quickly in a fast-paced environment and strong attention to detail
  • Strong organization skills with a process improvement mindset
  • Ability to prioritize and multi-task
  • Fluent communication skills in English are required and bilingual skills in French are an asset
