HR Coordinator

The Coordinator, HR Operations, serves as a primary contact in the organizations we serve, resolving inquiries and requests for HR-related transactions. This role ensures efficient and accurate execution of a variety of HR operational activities that are associated with the lifecycle of employees and contingent workers. They also serve a critical role in handling HR employee data in Workday and personnel files. The HR Coordinator should be able to manage sensitive and confidential information.

MAJOR DUTIES AND RESPONSIBILITIES

Recruiting Administration & Pre-Hires. The HR Coordinator manages administration for recruiting and the pre-hire process for all locations. This responsibility includes:

  • issuing offer letters,
  • guiding pre-hires through background checks and other requirements such as pre-employment physicals,
  • managing and maintaining various systems including our applicant tracking system (ATS, Workable), our human capital management system (HCMS, Workday), the state background check system (Guardian), among others.

These responsibilities have service level agreements (SLAs) with managers as to the amount of time taken at each step of the process and regulatory requirements that are regularly audited. In addition, these steps require regular communications with the manager and pre-hires to ensure SLAs are met and we retain pre-hires from offer to start date.

Orientation. As a natural follow on to the work above, the HR Coordinator manages Orientation for Union City and San Francisco. Orientation in our organization is important to convey important information and ensure staff feel welcome. Responsibilities include the following.

  • Employee files and HRIS and ATS profiles must be complete and accurate.
  • Key regulatory training must be delivered and documented.
  • Other key items such as badges and parking passes need to be issued and tracked in the proper systems.

HR Coordination. The HR Coordinator has responsibility for various other tasks that are key in the effective and efficient functioning of HR. They include the following responsibilities for all locations unless noted.

  • Maintain records and various files in Union City in accordance with state and federal laws
  • Process Human Resources paperwork and maintain accurate HRIS data in a timely manner
  • Track various regular document completion and return such as Handbook acknowledgements or wage theft notices
  • Troubleshoot general technical issues from the systems used in completing work
  • Create packets for various staff life events such as new hire packets, termination packets, leave packets
  • Keep all required posters and notices updated in Union City and supplied to and posted in the other locations
  • Manage all employment and insurance verifications and COBRA
  • Manage and track the disbursement of welcome and referral bonuses to employees
  • Appropriately route employee relation issues
  • Educate employees regarding company benefits outside Orientation
  • Perform general office administrative work

Requirements

  • High School diploma or equivalent required; prefer Associates Degree or equivalent work experience
  • General proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. We need someone willing to learn important features such as mail merges in Word and VLOOKUP and other functions in Excel.
  • Experience in creating reports, assessing, manipulating, and presenting data in various usable formats is essential
  • Experience using Workday and ATS would be preferred
  • Demonstrated ability to build relationships and influence at all levels of the organization
  • Proven ability to drive execution while always meeting deadlines.
  • Must be outcome-driven and taking responsibility/accountability for tasks including closing the loop on tasks and requests
  • Ability to produce quality work while, prioritizing multiple simultaneous deliverables and working in a fast-paced, demanding environment
