<p><strong>KEY PURPOSE:</strong></p><p>To provide general administrative assistance to the Private Wealth Team including: Managing Directors and Directors</p><p><strong>KEY TASKS AND RESPONSIBILITIES:</strong></p><ul><li>Collaborating closely with the Managing Directors and team members, we ensure business operations are seamlessly organised and run like clockwork</li><li>Arranging meetings, lunches etc. Responding to meeting requests in a timely manner, ensuring appropriate materials are prepared ahead of meetings</li><li>Monitoring daily inbound and outbound emails on a timely basis to ensure that all communication is dealt with promptly</li><li>Handling email and telephone communication and being able to sort and prioritise according to importance</li><li>Ability to spot ‘stress points’ and arranging calendar accordingly to ensure efficient management of individuals' time</li><li>Confidence to ask questions where briefs/instructions are unclear</li><li>Dealing with confidential matters with a very high level of professionalism, discretion and confidentiality</li><li>Complete expense claims in a timely manner</li><li>Providing ad-hoc administrative support to other teams and EA coverage where required</li><li>Maintain departmental databases including Salesforce</li><li>Prepare and bind investor presentations</li></ul><p><strong>EXPERIENCE AND SKILLS:</strong></p><p><strong>ESSENTIAL</strong></p><ul><li>Strong Microsoft Office including Word, Outlook, PowerPoint and Excel</li><li>Previous experience providing administrative support to up to 6 individuals</li><li>Excellent written and oral communication skills</li><li>Excellent organisational skills with strong attention to detail</li><li>Previous experience in financial services</li></ul><p><strong>DESIRABLE</strong></p><p>Databases : Salesforce and Cvent</p><p><strong>COMPETENCIES (key behaviours):</strong></p><ul><li>Quick grasp of needs and concepts</li><li>Ability to work under pressure and multitask</li><li>Efficient and able to prioritise effectively</li><li>Takes responsibility for tasks to completion</li><li>Strong work ethic - hardworking, enthusiastic individual with a very positive attitude</li><li>Team-player, willing to help colleagues on ad hoc tasks</li><li>Self starter, able to take the initiative and work independently</li><li>Very high level of discretion and professionalism</li><li>Flexible and proactive approach</li><li>Ability to deal with ambiguity and to deal with / manage challenging stakeholders</li></ul><p><em><br></em></p><p><em>Base pay range for this position is between $80,000 and $90,000.</em></p><p><em>The base pay range, if hired, will be determined but not limited to a number of job-related factors including: experience, skills, qualification and location.
