Education & Work Experience:
˗ College diploma or university degree in human resources, business administration or related field.
˗ Minimum 2 years of experience in a similar field;
˗ Skills in Microsoft Office Suite (Word, Excel, PowerPoint; Outlook), knowledge of HR administrative and archiving software such as NAVI, ELO is an advantage.
˗ Strong personal and communication skills; ability to handle sensitive and confidential information with discretion; excellent organizational and time management skills; conflict resolution and problem-solving skills.
˗ Understanding of HR best practices and legal requirements; awareness of the unique challenges and dynamics of working in the NGO sector.
˗ High level of integrity and ethical standards; ability to work independently and as part of a team; cultural sensitivity and commitment to diversity and inclusion;
Languages:
˗ Fluent in Romanian, good knowledge of Russian and English

People in Need (PIN) is a Czech non-governmental organization that provides relief aid and development assistance while working to defend human rights and democratic freedom. It is one of the largest relief and development organizations in post-communist Europe and has administered projects in 37 countries over the past 30 years. From 2009 onwards, PIN has added development programmes to its work in Moldova, building a vision and practices that keep people and communities at the centre of our work. Position Overview:
The Human Resources Administration Assistant (HRAA) duties involve a wide range of support activities inside our HR department, from coordinating meetings to maintaining our employee database to posting job ads. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions.
Duties & Responsibilities
HR Standards & Procedures
· The HRAA is fully familiar with current PIN HR-related policies, procedures, and standards, and ensures that compliance with these documents is fully applied, provides necessary information, and advises staff if relevant.
· Is responsible for the discretion of sensitive and confidential information and follows the Personal Data Protection Policy and Code.
Human Resources Administration
· Assist with day-to-day operations of the HR functions and duties.
· Provide clerical and administrative support to Human Resources executives.
· Compile and update employee records (hard and soft copies).
· Process documentation relating to personnel activities (staffing, recruitment, performance evaluations, etc.).
· Assist in payroll preparation by providing relevant data (absences, leaves, etc.).
· Prepares the schedule and structure of the recruitment process; coordinates the collection of references, sends rejection letters to non-selected candidates, and communicates acceptance to the selected candidates;
· The HRAA ensures the timely collection of employees’ timesheets and their placing in the ELO folder;
· Support Human Resources Officer in visas/work permit applications for international team members.
· Coordinate communication with candidates and schedule interviews.
Requirements:
