POSITION SUMMARY:
The Health Services EA assists the Vice President of Health Center Operations, the VP of Medical Services, and the VP of Health Care Compliance (VPs) in assuring that all health services conform to professional standards, PPFA protocols, PPLM quality standards, and are consistent with all regulatory requirements and monitoring agencies. The EA will support the VPs in assuring that PPLM emphasizes patient centered care and service. This position will work collaboratively with the Health Services staff to maintain operational systems and processes that contribute to a productive and compliant health services department.
Requires advanced administrative skills. Requires a high degree of organization and the ability to prioritize assignments. Utilizes judgment and discretion in dealing with confidential and sensitive matters for patients and staff.

ESSENTIAL RESPONSIBILITIES:
- Oversees and manages health center documentation; creates, edits and manages documentation in Sharepoint (PPLM knowledge-management system).
- Edits and updates documentation of procedures and protocols in conjunction with the Director of Clinical Services.
- Provides project management in collaboration with the VPs, the Director of Clinical Services, the Director of Clinical Quality Works with the data analyst and Director of Special Projects and Process Improvement to produce regular management reports for all of the health centers, including clinic service statistics and continuous quality improvement measures.
- Generates and disseminates to the health center manager/director indicators that measure health center performance.
- Provides administrative support for Press Ganey patients experience reporting.
- Assists with the onboarding and offboarding processes in coordination with HR Generalist and health center management, including project managing onboarding and offboarding checklists
- and maintaining/updating clinical onboarding documentation for all Health Services staff from all sites.
- Works with the VP of Medical Services, Director of Clinical Quality, and the Assistant Manager of QA to generate execute summaries of incidents.
- Works with the Director of Clinical Services, Regional Health Center Director – Central/Western MA, Director of Boston Health Center, and Health Center Managers to ensure that all forms are compliant with PPFA protocols.
- Collaborates and coordinates with Health Center management to prepare for accreditation site visits by PPFA and DPH/Title X accreditation teams as required.
- Collaborates with and assists Health Center management to ensure adherence to PPFA and DPH/Title X standards and guidelines.
- Produces and submits external reports for the health center including, but not limited to PPFA’s MVOL report and the MADPH Induced Termination of Pregnancy Report (ITOP)
- Provides tracking for APC CME funding and licensure/certification reimbursements for licensed staff.
- Provides administrative support to the VPs which may include calendar support, attendance at requested meetings and submission of expense reports.
- Helps organize and coordinate Health Services staff meetings.
- Maintains organization of health center documentation on Sharepoint.
- Maintains and manages health services and EMR policies in the Navex Policy Tech platform.
- Other tasks and responsibilities as needed
OTHER DUTIES AND RESPONSIBILITIES:
- Ability to move boxes of forms and stock forms in the storage area.
QUALIFICATIONS:
- BA/BS degree in Healthcare Administration/Management or related experience.
- Project management experience preferred.
- Must be goal-oriented with prior track record of meeting goals and following through, preferably in clinical setting.
- Strong data analysis and interpretation skills required.
- Ability to work effectively with staff of all levels within the organization.
- Self-directed and highly motivated.
- Advanced knowledge of PC and information systems.
- Ability to organize and maintain multiple office systems efficiently.
- Ability to perform well under pressure, exercise maturity in judgment and communicate information effectively verbally and in writing.
- Ability to manage high volume workload consistently and efficiently.
