About the job

As our Billing & Accounts Receivable Specialist, you will be reporting to our CFO and responsible for the timely creation of invoices for new and existing customers, ensuring prompt payments from customers, and accurate cash application in our accounting system. You will play a crucial role in maintaining the financial health of our company by managing invoicing processes and customer payments efficiently.  You will also have the opportunity to improve and automate processes related to invoicing and payments through software systems as the business continues to grow.

 

Your impact

  • Invoice Creation: Prepare and issue invoices to customers in a timely manner using the company’s accounting system and in agreement with company CRM (Salesforce).
  • Payment Management: Monitor and follow up on outstanding invoices to ensure timely payments.
  • Cash Application: Accurately apply cash receipts to customer accounts in the accounting system.
  • Account Reconciliation: Assist in the reconciliation of accounts receivable balances.
  • Customer Communication: Communicate with customers regarding billing inquiries and payment discrepancies.
  • Reporting: Prepare regular reports on accounts receivable status and aging.
  • Record Maintenance: Maintain accurate and up-to-date customer records in the accounting system.
  • Compliance: Ensure compliance with company policy, accounting regulations and sales tax remittance requirements.
  • Support: Assist the CFO with additional finance tasks and projects as needed.

 

About you

  • Education: Associate’s degree in Business, Accounting, or a related field. Bachelor’s degree preferred.
  • Experience: 1-2 years of experience in accounts receivable, billing, or a related field.
  • Skills:
    • Proficiency in accounting software and Microsoft Office, particularly Excel.
    • Experience working with Xero (Accounting) and Salesforce (CRM) systems would be considered an asset.
    • Strong attention to detail and accuracy.
    • Excellent organizational and time management skills.
    • Effective communication and customer service skills.
    • Willingness and ability to learn and adopt new software tools to automate processes
    • Ability to work independently and as part of a team.
