About the role

An exciting opportunity for a bright and positive Receptionist/ Office Assistant. We’re on the lookout for someone enthusiastic, organised and proactive, with a knack for thinking ahead and making things happen. As the face of our office, you’ll be the go-to person for both employees and visitors, bringing your can-do attitude to everything you do. If you’re a true team player who’s self-motivated and loves getting things done, this role is for you! You’ll report to the Executive Business Manager who will be your mentor and will support with your career development.

Responsibilities

  • Providing an excellent first point of contact experience for employees and guests
  • Setting up meeting rooms, managing catering requests and responding to emails
  • Distributing and sending post, arranging couriers and taxis
  • Maintain the reception, kitchen and printer areas, ensuring spaces are kept tidy and arranged safely
  • Ordering regular office consumables, office supplies and merchandise
  • Stocking fridges, putting out office snacks and setting up refreshments/ catering for meetings
  • First point of contact for general office enquiries and third party suppliers (cleaning, maintenance etc)
  • Daily inspection of the office and meeting areas
  • Manage facilities maintenance requests/ escalate issues accordingly
  • Collate office related reports, raise Purchase Orders, process invoices and expenses
  • Manage the set up for company All Hands meetings and work closely with other functions such as IT
  • Assist with organising company events and ad-hoc projects
  • Help the Executive Business Manager operationally to ensure seamless office management, assist with the roll out of new technology and new internal systems
  • Overflow PA support and ad-hoc tasks as required by the Executive Business Manager

Requirements

  • Punctual, dependable and positive attitude

  • Team player with self-motivation
  • A creative problem solver
  • Strong attention to detail and excellent organisational skills
  • Effective written and verbal communication
  • Proficient in Microsoft Office Suite
  • Minimum of 1-3 years’ experience in an office-based role
