As an Operation Administrator / Project manager, you will be maintaining contact with builders and clients, managing overall operations and project management tasks. Reporting to the office daily and also meeting clients onsite when needed. This position provides a base salary is $75,000 - $80,000 plus a company vehicle with insurance covered along with other perks!

OFFICE LOCATION & SALES TERRITORY:
• Head Office - Toronto Ontario
• Hybrid work model, with a mixture of working from home, the office and site visits
• Full-time - Monday to Friday
EXPERIENCE, BACKGROUND & EDUCATION REQUIREMENTS:
- 5+ years of Admin/Operation and some Project management experience
- 3+ years of industry experience in construction-related services such as HVAC, roofing, and windows installation
- Experience working with home builders and residential developers would be considered a plus

TYPICAL DAY & DUTIES:
Project Management:
- Record scheduling requests from builders and schedule work in communication
- Ensure all details of site work are communicated to site teams, completed accurately, and recorded
- Proactively plan for future phases of work in communication to ensure all elements of the project are completed at the correct intervals
Invoicing:
- Ensure every site visit is recorded for billing purposes
- Collaborate with management to determine billing amounts twice weekly
- Record invoices sent and amounts remaining for each project
- Track time and materials for some projects, working with suppliers to get accurate material quotes
- Follow up with clients over late payments
Daily Operations:
- Check all invoices from suppliers and maintain records of returns/warranty claims
- Prompt payment and recording of invoices from suppliers, parking tickets, reimbursement requests, etc.
- Responsive communication with site teams and back-end teams to address needs as they come up
- Responsive communication with clients based on requests that come in
Other (Secondary):
- Fleet management – tires, maintenance, licensing, insurance, parking
- Utility bills
- Basic HR tracking
SUPPORT & TRAINING:

• 2 weeks in-office training with 2 weeks ride-along training to clients’ sites
