The role of Office Manager is an exciting opportunity for someone who enjoys providing all the necessary administrative and organisational support to our international team in order to facilitate the smooth and efficient day-to-day running of our office.

Reporting into the Country Manager, the main responsibilities of the Office Manager role will be to assist in the coordination of the Bilthoven facility and to provide a pro-active and varied administrative service to our office-based team. This role will require a fluent Dutch speaker with good communication skills in English also.  

The key role of Office Manager will involve the following: 

  • Handling office tasks, including generating reports and presentations and setting up for meetings as well as transcribing minutes from meetings & conducting research
  • Order supplies and schedule office equipment maintenance in a timely manner 
  • Providing scheduling support by booking appointments and preventing conflicts
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
  • Be the main point of contact for internal and external visitors to the office, booking taxi’s, lunches, meeting rooms, workstations/offices etc for visitors
  • Ensure catering needs for meetings  and office are managed efficiently
  • The coordination of external vendors for office cleaning, building maintenance and alarm systems, to  ensure there is a safe working environment
  • Coordinate and participate in office space planning, maintenance and renovations when necessary
  • Be the point of contact for DocuSign within the office
  • Maintain polite and professional communication at all times
  • Anticipate the needs of others to increase creativity, productivity and teamwork
  • Provide expertise with Strong MSOffice skills including Outlook, Word, Excel and PowerPoint

 

The role of Officer Manager is office based and and will have the flexibility to work from home on approval by your line manager.

We seek -

  • Previous Office management experience
  • Demonstrable record of Microsoft Office including Word, Excel and PowerPoint
  • Must be exceedingly well organized and flexible
  • Fluent in Dutch with good communication skills in English, spoken and written
  • Experience of meeting tight deadlines on a daily, weekly, monthly basis
