About The Role
The purpose of the Filing Pod Lead is to manage a filing pod to maximize labor and work efficiencies, accuracy and timeliness of filings and minimize risk in filing operations. The Filing Pod Lead is a key player in hiring and developing staff, and improving processes, procedures, and training for all filing-related tasks. The Filing Pod Lead may also have assigned clients for which he/she will handle the ongoing filing process and any special projects needed. He/she will use their keen eye for attention to detail to solve time-critical and escalated problems for clients, monitor tax collection variances, oversee and complete special projects, and contribute to improving the teams' workflows and processes.
Your Qualifications

Professional
- At least 2 years of Accounting experience - CPA license preferred.
- Experience working for The Big Four accounting firms (preferred)
- Positive references from past supervisors.
- US tax experience is a plus, but not required.

- High attention to detail and a perfectionist at heart.
- Effective and comfortable communicating in English in writing, over webcam, and on the phone.
- Excellent at time management. Focus on outcomes rather than tasks.
- Eager to learn new skills and technologies. Great at analyzing data.
- Enjoy bringing order and clarity to complex and chaotic situations.
- Comfortable prioritizing and managing multiple clients and projects concurrently.
Your Primary Responsibilities
- Client Information and Communication. In addition to overseeing Filing Pod operations, the Pod Lead ensures team members are communicating effectively with their respective clients, and is responsible for attending all client hand-off meetings from onboarding to filings to ensure information is communicated for account managers to successfully take over the client's account.
- Ensuring filings of entire pod are submitted accurately + on-time. The Filing Pod Lead may be assigned a number of clients to personally oversee. This will require preparing and uploading sales tax data for the tax software, preparing estimates, submitting filings, and communicating with the clients on an ongoing basis. In addition to ensuring your clients' filings are submitted accurately and on time, you will be responsible for ensuring the same for all clients within your pod.
- Ensuring pod tax collected/paid variances are minimal. You will be responsible for overseeing the ongoing monitoring of variances between tax collected and the calculated liability due for all clients within your pod, help account managers determine any tax or product setting issues, and ensure the variance issues are resolved in a timely manner.
- Provide assistance and training on how to resolve time-critical and escalated issues. The Filing Pod Lead will train account managers on how to resolve any escalated or time-sensitive client issues while providing a high standard of client support throughout the process. This includes matters related to inaccurate sales data, payment or filing issues, tax variances, state collection agency notices and other issues that may arise. The Pod Lead will also provide assistance when needed to unblock team members so they can resolve these issues.
- Managing Filing Workflow and Capacity. The Filing Pod Lead will work with their Filing Pod to identify areas for improvement to the filing workflow. The Filing Pod Lead will regularly hold a Filing L10 meeting to discuss any outstanding issues or ideas for improvement and escalate the discussion/suggestions to the Filing Lead L10 when needed. The Filing Pod Lead is responsible for tracking, planning, and maximizing long-term filing labor efficiency ratios for the pod and by individual, and identifying upcoming capacity issues within the pod.
- Develop Filing Staff. Train new hires in filing processes and procedures relevant to their role. Supervise activities on an ongoing basis to identify areas for improvement or potential for professional growth. Create opportunities for team members to achieve their career goals.
Specific Measures of Success
No surprises here! After a year on the job, you’ll be measured by these specific outcomes:
- Special Project Completion Time. On average, all special projects and past due return projects for your filing pod are completed within 60 days of client sign-off.
- Backfiling Project Completion Time. On average, all backfilling projects and past due return projects for your filing pod are completed within 90 days of client sign-off.
- Client tax variance percentage for pod. Have 80% of all clients within your pod with variance testing status of N/A, resolved, or known issue.
- Submitting returns on-time. Have 99.9% of monthly filings submitted by state due dates for your filing pod.
- Client Happiness Rating. NPS of 50 or better for the clients within your filing pod.
- Team Filing Labor Efficiency. Pod LER is within TBD range.
- People Development. All members of filing pod are completing required ongoing education hours.
- Education Hours. The Filing Pod Lead will complete 3 hours per quarter in work related education or training.
- Quarterly Rocks. All rocks have at least an 80% completion rate for the year.
