As the employment agency hiring temporary workers to be assigned to the Bill and Melinda Gates Foundation, we are responsible for direct hiring and seeking candidates for the following temporary role at the Foundation.

The Team

The Gender Equality Division’s mission it to ensure women and girls in Africa and South Asia can enjoy good health, make their own choices, earn their own money, and be leaders in their societies. When women and girls have an equal chance to thrive and lead, everyone benefits. The Women’s Economic Empowerment (WEE) team sits within the Gender Equality Division and is focused on testing and scaling interventions to improve women’s ability to earn and control income. As a new and growing team, we partner and fund initiatives in south Asia and sub-Saharan Africa to expand women’s income generation.

Your Role

As Program Assistant, you will provide a wide and varied range of administrative and organizational support to two Deputy Directors on the WEE team. This support includes calendar management, visa support, and partner meeting planning, among other logistics support. This role will also work closely with the team’s SPA and Project Manager to support Team Experience activities – including supporting team retreats, onboarding new employees, and supporting a positive and healthy team culture.

WEE is a new and growing team, so we are seeking a candidate that is comfortable with ambiguity, is flexible and is energized by tackling new areas of work. The role will often be managing multiple workstreams simultaneously and require the ability to multitask effectively. This role will also require the ability to consistently prioritize, manage workload, and communicate priorities within a fast-paced, dynamic team environment. Excellent judgement, proactive thinking and action, ownership of assigned responsibilities, resourceful problem solving and acting with integrity are all critical skills for success in this role. The team members this role will support travel regularly and experience with international travel planning is critical.

What You’ll Do

  • Work closely with Principals to identify priorities and expectations on a weekly basis; regularly communicates progress, challenges, and delays as they come up. Manages parallel workstreams and triages based on team priorities.
  • Manage complex calendars including meetings with participants in multiple time zones, both internal and external to the foundation. The team is disbursed across four time zones and the vast majority of meetings will need to be coordinated across international regions.
  • Coordinate daily workflow and project progress, ensuring clear roles and responsibilities; ensures tasks and deliverables are being met and follows up on action items.
  • Prioritize communications to ensure prompt responses to inquiries.
  • Manage competing priorities through transparency, collaboration, and rigor.
  • Implements a clear and efficient process for managing Principal travel – including the timely completion of visa applications, partner meeting arrangement, and logistics.
  • Act as a planning liaison with internal and external partners, grantees, government officials and consultants – with an expectation of contributing to positive partner relationships.
  • Manage logistics, scheduling and planning of international partner meetings including coordinating arrangements for participants, and handling logistics.
  • Play a key role in team culture and help to design team effectiveness moments for team building and celebration.
  • Support the execution of annual team retreats, including working with the SPM team to plan logistics and activities, and facilitate various sessions.
  • Other duties as assigned.

Your Experience

  • A minimum of 3 years work experience in an administrative role for a complex and fast-paced organization
  • Experience setting priorities and meeting deadlines while balancing the needs of providing support for multiple individuals, including calendar management, travel arrangements; and event planning assistance.
  • Is highly proactive in identifying team needs and opportunities and helps champion and resolve them.
  • Experience working on global, hybrid teams with members across multiple time zones, including experience supporting international travel, visa applications and trip planning
  • Experience establishing organizational systems to improve efficiency in a changing environment.
  • Excellent oral and written communication skills; must be able to communicate effectively with internal and external contacts and can adjust to a wide variety of working styles.
  • Experience working on teams with diverse cultural and professional backgrounds.
  • Proficient with MS Office Suite including: Outlook, Teams, PowerPoint, and Excel.

*Must be able to legally work in the country where this position is located without visa sponsorship.
