The Role

As our Office & Executive Admin Assistant - EMEA, you will embark on an exciting journey of providing exceptional support to our esteemed CEO and Chief Operating Officer based in London. Your role goes beyond traditional administrative tasks; you will delve into a wide range of organizational activities, keeping our EMEA & LATAM offices running like a well-oiled machine.

Your involvement doesn't stop there – you will also take on the important responsibility of coordinating Pepperstone group travel and events, infusing every occasion with a touch of excellence. By doing so, you will contribute to creating unforgettable memories for our team.

In addition to your duties, you will play a vital part in supporting the Executive Assistant and ensuring a harmonious working environment. Your efforts will have a direct impact on our company culture and employee experience, making a real difference in the lives of our valued team members.

Your key responsibilities will include, but not limited to

Administration, Office, Travel and Event Support

  • Provide day-to-day diary management support to the COO. Take charge of managing action items and follow-ups.
  • Assist the EA – Group CEO with organizing and executing global business processes, meetings, and events like Quarterly Business Reviews.
  • Manage local bookings in the global travel inbox, including travel arrangements and third-party bookings.
  • Coordinate with third-party providers to ensure office facilities and equipment, such as cleaning services, are well-maintained.
  • Keep track of groceries and supplies in the Cyprus office (and other offices if feasible) while adhering to weekly spending limits.
  • Plan and coordinate regular social events, town halls, and monthly birthday celebrations, including the distribution of vouchers.
  • Take the lead in the Cyprus office social committee, actively contributing ideas and collaborating with others to deliver successful events across EMEA & LATAM.
  • Proactively order stationery and general office supplies as needed and maintain a stock list. Collaborate with regional country leads to determine specific requirements for each office.
  • Receive and distribute mail, and handle coordination with couriers.
  • Manage and keep track of Pepperstone EMEA merchandise levels, working closely with the Marketing team.
  • Collaborate with the Marketing team on external/client events as necessary.
  • Assign lockers and handle other tasks for new starters in Cyprus.
  • Take charge of arranging invoices, payments, and internal approvals.
  • Ensure the first aid kits are well-maintained across all offices.
  • Support the Managing Director Cyprus with building operations management.
  • Work closely with other administrative assistants to ensure no tasks are overlooked.
  • Provide ad hoc support for other projects as needed.

About you

  • Highly skilled in effective time management, organizing with meticulous attention to detail
  • Demonstrated experience in coordinating travel arrangements, planning events, and providing executive support
  • Proven ability to maintain confidentiality and exercise discretion
  • Proficiency in managing calendars and email communication
  • Excellent English language skills, both written and verbal
  • Capable of negotiating and establishing agreements with third-party providers
  • Adept at successfully seeing tasks through from start to finish
  • Proficient in Microsoft Office and computer skills
  • Proactive and comfortable working in a collaborative office environment while meeting new people
  • Ability to follow directions from multiple stakeholders
  • Skilled in working within constraints and budgets
  • Capable of performing physical office maintenance tasks
  • Enthusiastic about personal and professional growth
  • Alignment with the Pepperstone values
  • Willingness to travel internationally as needed, approximately three times per year
