GENERAL DESCRIPTION
The Event Coordinator will lead the coordination of all aspects of TSi events and meetings, ensuring successful execution from pre-event planning to post-event follow-up. The Event Coordinator will collaborate closely with the Marketing Team, assisting with additional marketing tasks as needed. This position requires travel as directed by senior leadership to serve as the on-site point of contact for specific events.
POSITION RESPONSIBILITIES AND EXPECTATIONS
· Lead the end-to-end coordination of all TSi events, including but not limited to conventions, trade events, Quarterly Board meetings, F.O.C.U.S.™ on Culture Camps, TSi Family Reunions, and Tour De F.O.C.U.S.™ meetings.
· Collaborate closely with the Marketing Director to ensure all aspects of events are executed as planned.
· Partner with Senior Leadership to understand and fulfill all requirements of each event.
· Manage the allocated budgets, negotiating with vendors as necessary.
· Oversee all event operations, including venue contracts, catering, attendee communication, registration, travel arrangements, and itinerary planning.
· Conduct walkthroughs and audits of event spaces pre-event, during the event, and post-event to ensure standards are met, as required by senior leadership.
· Serve as the on-site point of contact, addressing and resolving issues promptly.
· Prepare and submit post-event reports, including budget breakdowns, attendance records, and employee feedback.
· Assist with additional tasks as required by the Marketing Director and Senior Leadership.
MINIMUM QUALIFICATIONS
A. EDUCATION
· High school diploma required.
· Degree in Hospitality Management or a related field is a plus.
B. EXPERIENCE
· Minimum 2 years’ experience in event coordination and management.
· Experience with creating and maintaining budgets.
C. KNOWLEDGE, SKILLS, & COMPETENCY
· Excellent computer skills, including, but not limited to, in-depth knowledge of Microsoft based products (such as MS Word, Excel, MS Office Suite, and Outlook) and the Internet.
· Proven experience as an event coordinator with a successful track record of organizing events.
· Some graphic design capabilities.
· Excellent customer service skills, including sense of urgency in attending to customer needs.
· Strong vendor management skills.
· Detail-oriented with excellent organizational skills.
· Goal-oriented and results driven.
· Ability to work accurately and efficiently in a fast-paced, mission-critical environment.
D. OTHER
· Must have a valid driver’s license.
· This position requires travel as directed by senior leadership to serve as the on-site point of contact for specific events.
· Must be able to successfully pass a drug and background screening.
F. PHYSICAL DEMANDS AND WORKING CONDITIONS
Job duties are performed in a remote home office setting except for events that require travel. This position will require travel for on-site points of contact during events. The job entails intermittent physical activity, including walking, standing, sitting, and lifting up to 30 pounds.
