Executive Operations Specialist

Responsibilities

  • Maintain and manage calendars in Outlook, including heavy global coordination of executive travel and itineraries.
  • Prepare correspondence internally and externally with senior level contacts inside and outside the company such as vendors, customers, and senior leadership
  • Coordinate onsite and offsite executive meetings.
  • Organizes, prioritizes, and summarizes the content of incoming materials, specialized projects, special requests, and exception reporting.
  • Prepares special or one-time reports, replies to inquiries, and creates, maintains, and update spreadsheets to support reporting 
  • Receipt and Expense management 
  • Reporting to Sr. Director, Executive Operations 

Desired Skill Set:

  • Excel and/or google spreadsheet knowledge a must
  • Concur and Expensify knowledge 
  • Must be willing to work within a team environment
  • Excellent communication skills
  • Calm under pressure, able to pivot, with strong problem solving skills
  • Self-motivated, organized, and willing to work on call
  • Expense and refund management 
  • 4+ years of Executive Assistance Experience
