Role Purpose and Summary

  • Serve as the first point of contact for visitors and callers, ensuring a professional and welcoming environment. Manage front desk operations efficiently, provide administrative support to the office, and assist the SVP, Oil & Gas team with day-to-day coordination. The role requires excellent organizational and communication skills to maintain a seamless flow of operations

Experience

  • 0-3 years of relevant professional experience in front desk or receptionist roles, preferably in a corporate or professional services environment; Experience in oil & gas or similar industries is preferred

Qualifications

  • Bachelor's degree / High school diploma in Business Administration, Hospitality, or related fields

Key Responsibilities

  • Front Desk Management
  • Welcome visitors, clients, and employees with professionalism and warmth, ensuring a positive first impression
  • Manage the reception area, ensuring it is tidy, organized, and equipped with necessary materials (e.g., brochures, visitor badges)
  • Handle incoming calls and direct them to the appropriate team members, ensuring prompt and professional communication

  • Administrative Support
  • Schedule and coordinate meetings, appointments, and conference room bookings
  • Receive and distribute mail, packages, and other correspondence efficiently
  • Assist with document preparation, data entry, and maintaining accurate records as required

  • Visitor and Security Management
  • Manage visitor check-ins, including issuing visitor badges and maintaining a log of guests for security purposes
  • Liaise with security personnel to ensure proper protocols are followed for visitor access

  • Office Coordination
  • Maintain inventory of office supplies for the reception and ensure timely reordering
  • Provide support for office events, meetings, and travel arrangements when needed
  • Serve as a point of contact for facility-related requests and issues, such as maintenance or IT support

  • Support to the SVP, Oil & Gas Team
  • Assist with scheduling, document preparation, and coordination of meetings specific to the Oil & Gas team
  • Support the SVP and team with ad hoc administrative tasks, ensuring smooth day-to-day operations 

  • Customer Service Excellence
  • Act as a brand ambassador, reflecting the company’s professionalism and values through all interactions
  • Resolve inquiries or issues efficiently, escalating to the appropriate personnel when necessary
