Position: Proposal/Capture Assistant

Type: Part-Time

Location: Remote

Travel: 20%

Position Summary: The Proposal/Capture Assistant will support the business development team by handling key administrative tasks related to proposal and capture efforts. This role is ideal for a motivated individual eager to learn and grow in the fields of proposal development and capture management. The Assistant will work closely with experienced Proposal and Capture Managers, gradually taking on more responsibilities as they become proficient in the role.

Duties and Responsibilities

  • Assist in organizing and managing proposal documentation, ensuring all materials are properly filed and accessible through cloud-based systems.
  • Coordinate the internal flow of information and documents between team members using collaborative tools (e.g., Microsoft Teams, SharePoint), ensuring timely submission of all inputs.
  • Support the Proposal Manager in scheduling and tracking proposal deadlines and key milestones through project management software.
  • Assist in preparing and formatting sections of proposals using remote collaboration tools, under guidance from senior team members.
  • Participate in virtual meetings and reviews to learn about the proposal and capture processes.
  • Provide support during the production and submission of final proposals, ensuring electronic submissions meet all client requirements.
  • Support Capture Managers in gathering and organizing intelligence on potential opportunities, competitors, and customer needs using online research and virtual communication tools.
  • Assist in maintaining cloud-based databases and tracking systems for proposals, contracts, and capture activities to ensure data is current and accessible remotely.

REQUIRED SKILLS AND ABILITIES

  • Bachelor's degree in Business, Communications, English, or a related field, or equivalent work experience.
  • Military experience, particularly in Special Operations Forces (SOF) Military Occupational Specialties (MOSs) or Intelligence-related MOSs, will be considered highly valuable and may substitute for some formal education requirements.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks and deadlines.
  • Attention to detail and a commitment to producing high-quality work.
  • Ability to work collaboratively in a team environment
  • Experience in an administrative or support role (internships, part-time jobs, or volunteer work can be considered).
  • Familiarity with basic project management concepts is a plus but not required.
  • A strong desire to learn and grow within the business development and proposal/capture management fields.
  • Proactive and self-motivated with a problem-solving mindset.
  • Flexibility and adaptability in a fast-paced environment.
