Our client is an Australian discount variety store chain with 375 stores across Australia. They are currently seeking a Facilities Management Coordinator to help oversee the daily operational, repair, and maintenance needs of the store network.

Job Responsibilities:

1. Occupational Health and Safety (OHS) and Compliance:
- Communicate and enforce health and safety policies and procedures to ensure all employees understand and adhere to them.
- Adhere to all company policies, procedures, and codes of conduct to uphold the company's reputation and meet legal, moral, and ethical obligations.
- Identify and report all incidents and safety hazards for necessary review and corrective action.
- Ensure a safe work environment for employees, customers, and contractors at all times.
- Lead by example and demonstrate an active commitment to company policy and OHS compliance.
- Timely and effective implementation of corrective actions.

2. Maintain Relationships with Internal and External Parties:
- Act as the primary contact for the store network to address maintenance work requests and property-related issues.
- Regularly communicate with Store Operations regarding their maintenance requests.
- Effectively engage with Contractors, Managing Agents, and Landlords to resolve property issues.
- Provide daily/weekly updates to the National Facilities Manager and monthly updates to the General Manager Property.

3. Third-Party Contractor Management:
- Verify appropriate paperwork (e.g., SWMS, JSA, PLI).
- Prepare payments for processing.
- Ensure documentation is in order.
- Assess the quality of completed work.

4. Maintain Facilities Management Database:
- Consistently input detailed work orders into the system.
- Regularly review open work orders and monitor maintenance schedules.
- Ensure database accuracy.
- Promptly complete work orders.
- Effectively implement maintenance tasks.

Requirements

  • 2-3 years of experience in facilities management or maintenance coordination.
  • Proven track record with third-party contractors, service agreements, and property maintenance.
  • Strong grasp of Occupational Health and Safety (OHS) regulations and compliance.
  • Proficient in facilities management systems and database management.
  • Excellent communication with internal teams, contractors, and external stakeholders.
  • Skilled in prioritizing tasks, managing work orders, and ensuring timely completion.
  • Financially adept in preparing payments, verifying paperwork, and managing budgets.
  • Highly organized with strong problem-solving skills.
  • Committed to safety and promoting a secure work environment.
  • Able to work independently or as part of a team, showing leadership and adherence to company policies.
