Job summary
We are seeking a highly organized and detail-oriented Warehouse Office Coordinator with advanced Excel skills to support our warehouse operations. This is a full-time, in-office position where you will play a vital role in managing data, coordinating tasks, and providing administrative support to ensure smooth warehouse operations. The ideal candidate will be proficient in Excel and able to handle multiple tasks while maintaining accuracy and efficiency.

What YOU will do:

  • Data Management & Reporting:
  • Create, update, and maintain Excel spreadsheets for tracking inventory, shipments, warehouse performance, and HR records.
  • Track and follow up on outstanding invoices to ensure timely payments.
  • Maintain invoicing records and assist with financial reconciliations.
  • Coordinate with accounting or finance teams to resolve any invoicing discrepancies.
  • Generate and analyze reports on warehouse operations, inventory levels, employee attendance, and other key metrics.
  • Assist in data entry and ensure accuracy of all records related to warehouse operations and HR functions.
  • Administrative Support:
  • Provide general administrative assistance to the Head of Warehouses and HR Manager, including scheduling meetings, preparing documents, and maintaining office systems.
  • Handle filing, organizing, and processing of important documents related to warehouse and HR functions.
  • Manage communication between departments, vendors, and employees as needed.
  • HR Support:
  • Assist HR with employee-related tasks such as attendance tracking, timekeeping, and maintaining personnel files.
  • Help prepare onboarding documents for new hires and assist with other HR-related administrative tasks.
  • Process Improvement: 
  • Work closely with leaders to identify areas where administrative processes can be streamlined or improved.
  • Provide recommendations for more efficient workflows and assist with the implementation of process changes.

Who YOU are:

  • Proven experience as an office coordinator or in a similar role, preferably in a warehouse or logistics setting.
  • Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, formulas, data analysis, etc.).
  • Strong organizational and time-management skills with the ability to handle multiple tasks and prioritize effectively.
  • Excellent attention to detail and accuracy in data entry and reporting.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Experience with warehouse management systems (WMS) or HR software is a plus.
