The role
As a Documentation and Compliance Officer, you will be handling custodianship, safekeeping, monitoring, timely and accurate processing of Promissory Notes and other loan documents relating to loan releases and rediscounting of loans with the Bangko Sentral, supports in the timely and satisfactory compliance to regulatory and internal requirements in accordance with the Bank policies and procedures, accepted accounting principles and regulations of Bangko Sentral and other agencies of the government.
How you'll contribute
- Reviews, logs and monitors incoming Promissory notes and vital loan documents by ensuring that these are free from any alterations or defects in accordance with the approved terms and conditions.
- Ascertains that Promissory notes/Disclosure Statement (PNDS) and other vital documents are prepared, notarized and safekept by the Custodian and transmitted to concerned Units within the agreed turn-around-time (TAT) to comply with SLA.
- Assist the Team Head for internal and external audits (including BSP, SEC, external auditor, etc.). Ensures prompt submission of audit requirements, replies to issues, as well as monitoring of resolution.
- Handles and monitors Bank Certification with QR code, Manager’s check and Official receipts non-working supply inventory through safekeeping to ensure sufficient supply and do necessary replenishment.
- Handles and monitors transmittal of Post-dated checks (PDCs) from loan processing units to PDC Management Unit by sending immediately all items for proper safekeeping and monitoring.
- Verifies signatures on the loan documents presented by comparing the specimen signature on file if in accordance with Board Resolution/Secretary’s Certificate of the client/borrower to avoid losses and fraudulent transaction.
- Handles the scanning and timely uploading of digital files of all processed PNDS and other loan documents to EDMS to prevent unnecessary loss of documents.
- Handles the safekeeping of Original PN and loan documents through systematic and orderly filing of vital loan documents to ensure that they are properly recorded and for audit readiness in the current year and for transmittal for crowning purposes.
- Assist the Team Head for internal and external audits (including BSP, SEC, external auditor, etc.). Ensures prompt submission of audit requirements, replies to issues, as well as monitoring of resolution.
- Updates the specimen signature cards (SSC) by requesting updated SSC to Lending Units or Branches as the need arises.
- Attends to all requests and queries from other units/ departments, branches and borrowers/ clients by providing immediate action and replies to comply with the agreed SLAs.
- Builds stakeholder loyalty by effectively meeting their needs while developing and maintaining productive relationships.
- Responds to stakeholder issues in a manner that is objective, respectful, fair, and focused in resolving the issues while avoiding personal attack.
- Provides continuous support on different stakeholders regarding reports concerning loan processes and systems, and interpretation on governing regulations (Bank policies, Tax Guidelines, BSP Circulars).
- Assists the Team Head, Section Head, Unit Head and the Department Head by preparing the materials and providing data/management reports for Operating Review, Yearly Budget Report, Volume and Accomplishment Report, and MPR analysis.
- Initiates and assists the Team, Section, Unit and the Department in resolving problems related to system enhancements/cleanups when needed.
- Acts as an alternate MIS Recon Officer/Loan Officer by performing additional tasks such as (but not limited to) processing of loan bookings/payments in the RL system to increase scalability and avoid delay in processing loan transactions.
- Trains newly onboarded employees on the loan processes, enterprise systems, and organization culture for them to be fully equipped at the beginning of their career in Security Bank.
- Raises issues encountered on Tax to Fincon, ambiguity in the loan documents to Legal, and potential risk to Risk Department.
- Guides the Loan Processors with the requirements and in assessing documents subject for signature verification to facilitate ease of processing transactions.
- Reconciles, prepares and passes accounting entries/tickets ensuring completeness and accuracy for proper recording within prescribed TAT.
- Performs other related tasks which may be assigned from time to time.
What we're looking for
- With 3-4 years of experience in Accounting/Audit/Tax Services, Banking, Credit Card Companies
- Bachelor's / College Degree in Business Studies/Administration/Management, Commerce, Finance/Accountancy/Banking
- Knowledge in Lending Products and Operations
- Knowledgeable in Microsoft Office Applications with Advanced Excel Skills
- Good written and oral communication skills
- Good analytical ability, proactive, and possesses continuous improvement mindset
- With good record of attendance in previous work experience
- Amenable to changes and flexible enough to meet the demands of the role
