As we continue to grow, we are looking for a meticulous and organised Goods-In Administrator to support our operations on a flagship project.</p><p></p><h2><strong>What we are looking for?</strong><br></h2><p>The Site Logistics Administrator will be responsible for managing all administrative tasks related to the receipt and documentation of materials delivered to our sites. This role involves ensuring accurate record-keeping, communication with suppliers, and coordination with the on-site and procurement teams Along with booking in delivery with the onsite Logistics team. The ideal candidate will have excellent administrative skills and experience in a construction or logistics environment. Please note, this role does not involve physical handling of stock.<br></p><p><strong>Key Responsibilities:</strong><br></p><ul><li><strong>Documentation &amp; Record-Keeping</strong>:<ul><li>Process and accurately document all incoming goods and materials against purchase orders and delivery notes.</li><li>Ensure all delivery paperwork is complete, accurate, and compliant with company policies.</li><li>Maintain organised digital and physical filing systems for all goods-in documentation.</li></ul></li></ul><ul><li><strong>Supplier Communication</strong>:<ul><li>Act as the primary administrative contact for suppliers regarding deliveries, ensuring clear and timely communication.</li><li>Liaise with suppliers to resolve any discrepancies or issues with deliveries, such as missing or incorrect items.</li><li>Coordinate with suppliers to confirm delivery schedules and track the progress of outstanding orders.</li></ul></li><li><strong>Coordination with Site &amp; Procurement Teams</strong>:<ul><li>Work closely with the procurement team to ensure that all goods received are correctly logged and match the corresponding purchase orders.</li><li>Communicate with site teams to update them on the status of deliveries and resolve any issues related to received goods.</li><li>Assist in the coordination of documentation for materials that need to be returned or replaced.</li><li>Booking in delivery with the onsite Logistics team on agreed timed slots.</li></ul></li><li><strong>Reporting &amp; Analysis</strong>:<ul><li>Generate regular reports on goods received, highlighting any discrepancies, delays, or issues encountered.</li><li>Provide administrative support for inventory and stock control processes by ensuring that all relevant information is accurately recorded.</li><li>Contribute to audits and reviews of goods-in processes, helping to identify areas for improvement.</li></ul></li><li><strong>Support to the Finance Team</strong>:<ul><li>Assist the finance team by ensuring that all goods-in information is correctly processed for invoicing and payment.</li><li>Collaborate with finance to resolve any billing or payment issues related to delivered goods.</li></ul></li></ul><p></p><p><strong>Key Requirements</strong></p><ul><li><strong>Experience</strong>:<ul><li>Previous experience in an administrative role within a construction, logistics, or similar environment.</li><li>Experience with goods-in or procurement processes is an advantage but not essential.</li></ul></li><li><strong>Skills &amp; Competencies</strong>:<ul><li>Strong organisational skills with a keen attention to detail and accuracy.</li><li>Excellent communication skills, both written and verbal, with the ability to liaise effectively with suppliers and internal teams.</li><li>Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with procurement or inventory management software.</li><li>Ability to manage multiple tasks and priorities in a fast-paced environment.</li></ul></li><li><strong>Personal Attributes</strong>:<ul><li>Proactive and self-motivated, with a strong sense of responsibility.</li><li>A team player with a positive attitude and the ability to work collaboratively.</li><li>Adaptable and open to learning new systems and processes.</li></ul></li></ul><p></p><h2>Our commitment to you</h2><p>As a key member of our team you will be encouraged to develop yourself further using all the tools made available to you by the business.
